POSITION TITLE: Assistant Registrar

QUALIFICATIONS:

  • Bachelor's Degree and four years' related experience required; Master's degree preferred.
  • Four (4) years of relevant full-time experience required, preferably working in a registrar's office.
  • Demonstrated successful experience with student information systems, Jenzabar, is strongly preferred.
  • Must have the proficiency and working experience with word processing, spreadsheets, and other software typically used in an academic environment.
  • Effective oral and written communication skills, interpersonal and organizational skills, analytical, critical thinking, planning and problem solving skills are essential.
  • Experience working collaboratively with faculty and senior administrators in achieving organizational objectives
  • Thorough knowledge of federal and state laws related to education records and the institutional responsibility for compliance
  • Experience in the management, security, and storage of academic records
  • Broad base of general technical knowledge and skills related to managing complex record systems, with some computer systems development experience
  • Experience with confidentiality of records, information and handling sensitive matters with judgment, tact, and diplomacy
  • Assist in the develop of the academic calendar
  • Assist in the regular updating of the college catalog

RESPONSIBILITIES:

  • Process standard Registrar's Office duties and transactions including, but not limited to: Colleague transactions, answering phones, emails, faxes, forms, records maintenance and discrepancies.
  • Interpret College policies as necessary for the maintenance and accuracy of student records.
  • Analyze and interpret irregularities in student records, working with advisors and academic departments to resolve problems.
  • Oversee and support transcript/diploma order fulfillment and release, both electronic and hard copy.
  • Oversees all operations in the transfer credit process and prior learning credit process (evaluation of transcripts, posting of credit, processing and building of transfer credit following College policy and in compliance with accreditation standards.
  • Perform records management-related quality control measures, including records review, maintenance and oversight of current student records and associated systems including Jenzabar.
  • Oversee the grading processes and the identification/collection of missing grades and incomplete grade forms.
  • Collect, maintain and report student records within FERPA guidelines
  • Promotes teamwork, collaboration, and resource sharing throughout the department and with other departments;
  • Provides support on routine office tasks; addresses student, faculty and staff inquires; maintains and updates all training materials for the department

SUPERVISION AND EVALUATION

  • This position reports to the Director of Student Records/Registrar
  • Performance of this job will be evaluated annually by the immediate supervisor in accordance with provisions of the Jarvis Christian College Administrative Policies and Procedures Manual.
