Job Summary
This is administrative work performing non-routine research and administrative tasks related to the coordination and oversight of IT projects to ensure timely and effective project development and completion. Assists the IT Delivery Office in follow up and compliance with the project methodology and tollgates. Handles special assignments and/or projects for the IT Delivery Office on an as needed basis.

Job Responsibilities:

  • Assist with project governance activities, including capital planning and the project approval process. Assists with analyzing and managing the capital plan for approvals and ongoing updates. Assists with reviewing project requests, including financial accuracy, and compiling presentations for executive review. Assists in managing and reporting on the active project portfolio.
  • Assist with the coordination of high or multiple medium rigor projects. Updates project team, tasks and financial information in Clarity. Reconciles project budget in Clarity. Accurately completes all required project fields within Clarity. Reviews current assigned project resources - both full time employees and contractors in Clarity. Trains others on the use of Clarity and project coordination.
  • Assists IT Delivery Managers with project budget planning and development. Assists with IT Delivery Managers with establishing project work plan and calendar or schedules.
  • Provides advice to participants on the IT's project management processes, procedures, and guidelines; serves as a liaison; acts as a resource person by performing research, analyzing information, providing documentation, and preparing reports, as required.
  • Monitors record keeping and file maintenance for the program or project. Prepares records of project activities; oversees and ensures the timely processing in and the delivery of required materials. Verifies and analyzes the accuracy of all data and information used or generated by project; resolves any discrepancies or problems. Assists in oversight of the project portfolio and performs follow up to ensure compliance with project methodology and tollgates.
  • Serves as liaison for IT Delivery Office; coordinates activities and exchanges information. Ensure the development process follows the Project Management Methodology and IT Delivery Office standards. Document and submit project change requests on behalf of the Project Manager or project coordinator. Contributes to the continuous improvement of the IT Delivery Office which could involve development of communication materials, assisting with training, handling complex assignments, and other special projects per the direction of the PMO leadership.
  • Staff member is expected to consistently adhere to regulatory and compliance policies and standards linked to their job as listed. Staff member will not repeatedly act in a manner signifying intentional or willful noncompliance, nor exhibit gross negligence or a general disregard for compliance and regulatory standards. Staff member must ensure compliance with applicable federal, state and local laws and regulations. Staff member must complete all required compliance training on a timely basis. Staff member will maintain knowledge of and adhere to Flagstar's internal compliance policies and procedures. Staff member must take responsibility to keep up to date with changing regulations and policies.

Job Requirements:
  • High School Diploma, GED, or foreign equivalent is required.
  • Bachelor's Degree or comparable work experience.
  • 3-5 years of experience in coordinating projects.
  • Previous experience with project set up and updating preferred.
  • Knowledge of project management methodologies.
  • Knowledge of project budgeting and financial accounting.
  • Knowledge of computers and database/spreadsheet/ word processing software.
  • Excellent communications and critical skills, both written and verbal.
  • Excellent planning and organizational skills.
  • Strong problem solving skills.
  • Ability to accurately review and complete detail oriented information.
  • Ability to take responsibility and function under minimal supervision.
  • Ability to work with wide range of people.
  • Strong Microsoft Professional Suite experience.
