Sr. HR Coordinator
The Department of Psychiatry and Behavioral Sciences is seeking a Senior HR Coordinator who provides a wide range of Human Resources support throughout the Department within the policies and procedures of the broader Johns Hopkins Medicine.

This role will serve as the primary point of contact for faculty, management, and staff with regards to human resource policies, procedures, and practices, this includes but not limited to: recruitment and employment, employee relations (including disciplinary action, unemployment hearings, layoffs, termination), training and education, payroll processing, onboarding, time management/leave documentation, personnel records management, HR policy interpretation and information dissemination.

The Sr. HR Coordinator handles the human resource related issues and concerns by providing information, advice, guidance and support, in collaboration HR Manager and divisional human resources as needed. Performs duties of a sensitive and confidential nature.

Specific Duties & Responsibilities:

  • Provide consultation to faculty and staff on interpretation of HR policy and procedures related to recruiting, employment positions, Family & Medical Leave (FML), STD, timekeeping (e210), SAP.
  • Coordinate initial divisional efforts related to staff that require (FML). Work with divisional administration, supervisors, and HR representatives on submission of paperwork related to this area and process short-term disability and FMLA requests.
  • Oversee collecting and evaluating information, and making recommendations in support of current efforts to comply with new JHU policies and/or federal laws and regulations.
  • Ensure that human resources activities and services are carried consistent with and supportive of established university-wide and divisional human resources vision, mission, and plans.
  • Serve on various committees and task forces. Actively participates in discussion, brings in both personal and organizational Department-specific perspectives on issues.
  • Annually review all job descriptions in the department to ensure equity amongst staff within the Department.
  • Assists with answering and counseling divisional faculty and staff on interpretation of HR policy and procedures.
  • Coordinates annual performance review process and communicates with supervisors regarding completion of reviews in Success Factors. Uses guidelines to determine annual increases; communicates changes to staff.
  • Responsible for the distribution of 120- day reviews from HR to supervisor.
  • Responsible for exit interviews for terminating or transferring employees, retrieval of badges, answering questions relating to final paycheck, etc. Maintains database of exit and termination statistics.
  • Assist and send paperwork to new faculty, post-docs, and residents for processing of I9 in compliance with SOM established procedures.
  • Serve as the liaison to the TA's recruiters as it related to personnel requisitions for the division.
  • Manage the requisition submission process for the department.
  • Interview applicants and conduct reference checks as needed.
  • Provide department onboarding for all new faculty and staff and determine new hire training required and obtain access to appropriate systems.
  • Primary point of contact for all requisitions and acts as the liaison to the SOM and JHHS employment recruiters and compensation analysts as it related to personnel requisitions for the division.
  • Develop and review job descriptions with supervisor/manager/faculty and suggest changes based on understanding of area and need. Prepare personnel requisitions for submission to Human Resource Hiring Review Committees.
  • Assists with answering and counseling divisional faculty and staff on interpretation of HR policy and procedures
  • May perform preliminary interview of candidates. Provides resources to recruitment and compensation staff.
  • May perform Reference checks for candidates.
  • Coordinate placement of temporary staff with Randstad/Intrastaff as needed.
  • Manage employee relations cases for faculty and staff in partnership with central Human Resources.
  • Advise management on termination and disciplinary decisions with guidance from HR Manager/SOM HR.
  • Gathers sensitive information for the HR Manager for grievances, disciplinary actions and other personnel matters.
  • Assists and advises employees on sick time, vacation time, holidays, leave of absence, family medical leave, payroll, tuition reimbursement, flexible fringe benefits, deductions, etc.
  • Monitors time and attendance forms for staff via E210 system.
  • Communicates with staff and supervisors regarding any time discrepancies, overtime requests, and use of E210 codes.
  • Initiate internal service requests (ISRs) as needed for faculty, staff, postdoctoral fellows and students. Responsible for payroll overpayments - implement processes to minimize, communicate, and recoup overpayments in a timely manner.
  • Maintains and creates personnel records for departmental staff of JHU and JHHS.
  • Primary point of contact for faculty, staff, student and postdocs on payroll policies and procedures. Prepares payroll forms; monitors and maintains appropriate payroll related documents; prepares weekly payroll; researches and resolves payroll problems for employees. Monitors, reports, and collects payroll overpayments.
  • Responsible for timely submission of all Division ISR's.
  • Perform miscellaneous related duties as assigned.


Minimum Qualifications (Mandatory):
  • Bachelor's Degree in Human Resources, Business Administration, or related field.
  • 3 years related experience.
  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.*


* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

  • Very strong organizational skills, analytical and problem-solving abilities and attention to detail.
  • Ability to maintain confidentiality.
  • Strong interpersonal and communication skills, both oral and written.
  • Ability to effectively interact with all levels of University and Hospital employees as well as outside contractors.
  • SAP experience preferred.

Starting Salary Range: $43,970 - $60,390 annually (commensurate with experience)
