Position Overview: Assist the sales/service staff, brokers and employer groups. Process and maintain new group quotes, new sales & renewal documentation, collect missing information on new/renewing documentation and new group quotes. Monthly & ad-hoc reporting, and supply request. Ensure complete and accurate information to all internal and external customers.

Essential Responsibilities:

  • Manage sales queues and process inbound emails/phone calls accordingly Provide internal support to the sales/service staff when they are out of the office, triaging and delegating or completing work that cannot wait until they return to the office.
  • Assist brokers with questions regarding new and existing groups and their status.
  • Enter and maintain all pertinent group information into all required systems (i.e. CRM, PSE, Facets, OnBase) including all RFP and renewal information.
  • Review new/renewing group applications and member enrollment, scrub documents for missing information, collect the missing information prior to submitting to OnBase.
  • Process Binder Checks according to established process.
  • Prepare group supplies for clients, assemble new/renewal group packets, enrollment materials, and other supplies as requested.
  • Process request for proposals (RFP) from broker, review proposal to make sure the group meets eligibility requirements and send to AU.
  • Support the delivery of small and large group proposals to broker.
  • Back-up SSC team with workload as needed.
  • Maintain positive working relationships with groups, brokers, and coworkers.

Supporting Responsibilities:

Meet department and company performance and attendance expectations. Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information. Copy, fax, file, and deliver supplies as needed. Complete special projects, assist with community events, and perform other duties as assigned.

Work Experience: Two years of administrative experience. Experience in group health insurance or healthcare-related business preferred.

Education, Certificates, Licenses: High school diploma or equivalent required.

Knowledge: General office skills including typing, filing, copying, faxing, 10-key. Computer skills in Microsoft Windows based software. Ability to gain knowledge of state and federal laws affecting group health insurance and agents. Ability to gain knowledge of PacificSource products, contracts, and workflow. Excellent written and verbal communication. Remain current on PacificSource procedures, policies, and products. Thorough understanding of ACA and PacificSource plan options.
