Do you want to play a role in global commerce?

In this central Construction Management and Operations role, you will support a regional team of three (3) in managing corporate processes and procedures on multiple real estate manage buildings, corporate roll outs, reporting and construction projects in the Chicago, Indianapolis and Cincinnati. This role is critical to ensure that each project follows the company standards, and the contract administration is efficient.The ideal candidate thrives in a fast-paced, customer-centric environment, where they will balance multiple priorities and respond to internal and external customer needs. This role with be at the center of the team's business and project operations, supporting projects and deliverables. This position will anticipate the needs of your team and help them stay focused on their objectives by driving all administrative, contractual, reporting and project functions.

What's needed in order to do that:


  • Exceed our customers' expectations by providing the highest level of customer service in the industry.

  • Draft and edit all relevant project or capital improvement information, process for party signatures, and enter all contracts, addendums and change orders for shell development, tenant improvements and major capital construction projects into PeopleSoft.

  • Review and enter invoices into PeopleSoft (accounting system).

  • Review and maintain contractor insurance files and solicit updates as required before payment.

  • Cost control - Ensure costs are coded correctly and are in line with the said Contract; including communicating with contractor and consultants to understand appropriate costing and coordinating with the Regional VP, Construction Manager and RECX Managers.

  • Prepare reports, periodic accruals, and budget to actual based on contracted costs.

  • Maintain the project filing directory in the cloud, ensuring that contracts, invoices, drawings, and all other required documents are being uploaded and maintained.

  • Primary point of contact for projects under construction and accounting processes and procedures. Educate contractors on Prologis process requirements and provide training to development administrative assistants as needed.

  • Prepare monthly expense reports and assist with travel arrangements and other administrative support requests for the team.

  • Support the overall teams project management, critical meeting schedules, jurisdictional deliverables, contracts, etc.

  • Facilitate communication and coordination among internal Prologis departments, including accounts payable, accounts receivable, development accounting, risk management, leasing, and legal teams.

  • Upload historical customer, vendor and property documents to the Document Record System (DRS).

  • Maintain electronic documentation, correspondance, etc. in BOX.

  • Operate, report and enter data in Project Tracker, Peoplesoft, Yardi and Salesforce.

  • 1-3 Years of experience in a similar role

  • Requires a minimum High School Diploma. A college degree would be beneficial. Related experience in a Real Estate, Property Management, Construction, Engineering, Architecture, or related firm is beneficial.

  • Proficient knowledge of the Microsoft Office Suite (e.g., Excel, Word, PowerPoint, Outlook). It would be a bonus if the applicant had some knowledge of one or more of the following software(s); PeopleSoft Financials, Yardi, Adobe Professional, Salesforce, and/or Bluebeam.

  • Demonstrated ability to manage and complete multiple oral and written instructions from several different development managers and construction managers concurrently with efficiency and accuracy.

  • Self-driven, pro-active, willingness to learn and create new processes and efficiencies, and follow-through.

  • Not afraid to ask questions, drive for clarity and completion.

  • Meticulous attention to detail and accuracy.

  • Customer service mind-set and a team player mentality.

  • Proven ability to communicate effectively (oral and written) with customers, peers, management, contractors, and vendors.

  • Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
