Job Summary:

The Proposal Manager is responsible for the coordination of all proposal activity for the MHS business development group. This requires regular communication and coordination with the Business Development, Systems Engineering and Estimating teams, all of which contribute to the bid process.

Responsibilities:

  • Compile and generate proposal documents based on content that is provided from systems and estimating engineers
  • Maintain the MHS proposal tracking system (Quote Log) including: entering new RFPs into the system; assigning systems and estimating resources, and updating the log file with revised dates, resource assignments, proposal status, etc.
  • Create / open new project numbers in Infor LN and establish a network folder structure for each new RFP
  • Work with management as needed to assign estimators and systems engineers to any incoming proposals
  • Coordinate weekly proposal status review meetings to discuss outstanding deliverables, open issues and ensure progress is being made to meet proposal deadlines.
  • Create and maintain a working set of proposal templates in Microsoft Word format; this is inclusive of creating new templates and improving existing templates based on collaboration with Business Development, Finance, Legal and other subject matter experts
  • Periodically work with the MHS legal department to ensure the Terms and Conditions within our proposal templates are maintained accurate and up to date
  • Proofread proposal documents to ensure proper formatting and grammar; obtain approvals from managers as required, prior to delivery to the MHS sales team
  • Generate PowerPoint presentations for the sales team, based on input from the estimating engineers
  • Participate in departmental and executive review meetings; document clarifications, inclusions and exclusions for the customer submittal
  • Participate in Customer Q&A meetings
  • Assist with creating and documenting new processes and procedures to improve all aspects of, and streamline the bid development process.
  • Facilitate the weekly Business Development interdepartmental pipeline review meeting; create and distribute pipeline report to departmental heads.

Required Knowledge, Skills, Abilities:
  • Highly proficient in Microsoft Word, with an emphasis on document formatting
  • Working knowledge in Microsoft Excel and Outlook
  • Ability to perform detailed oriented work in a timely manner, ensuring deadlines are achieved
  • Ability to review documents to ensure that they are grammatical correct
  • Ability to lead internal meetings
  • Ability to communicate, both orally and written, at all levels of the business and with customers
  • Ability to handle multiple tasks at the same time with changing priorities
  • Familiarity with KPIs and data analysis is a plus

Education and Experience:
  • Bachelor's degree in marketing, business, communications, or a related field
  • Experience in the material handling industry is desired, but not required
  • Experience with management of the project estimating process is highly desirable
  • Knowledge of Salesforce software is desirable and beneficial, but not a required
