Position Summary

This position is primarily responsible for providing oversight and coordination for all program project coordinators and support to Energy Advisors and Energy Engineers ensuring that information is accurate, files are maintained and continuously reviewed, and provide continuous communication with business contacts. This position is additionally responsible for managing customer grant processing, informing Energy Advisors of expiring grants and applications, and assisting customers.

Essential Duties and Responsibilities

  • Coordinate with Energy Advisors to ensure good organization of files, paperwork, and data entry as well as communication to the business contacts
  • Maintain, update, and add entries to the program database accurately to complete project processing for approvals and payment. This may require contacting clients, and trade allies
  • Answer phones and assist customers with understanding how to participate in programs, how to get project incentives, and coordinating paperwork/applications
  • Help maintain and update additional program support database (i.e. SharePoint) relating to project tracking and project assignments
  • Work with program staff to streamline efficient workflows
  • Provide office management support including follow-up on issues relating to computers, printers and fax/copy machines, and maintain office supplies and equipment, ordering office supplies and other office logistics
  • Monitor activity to maintain contract and subcontract compliance including tracking of invoices and report submittals
  • Coordinate with program management on managing quality assurance and quality control of project documentation and processing
  • Assist trade allies and customers to ensure they have the correct information and marketing materials to promote the energy efficiency incentives
  • Tracking monthly and quarterly performance of teams, and goals
  • Provide assistance with customer service, scheduling and other issues as needed
  • Transcribe data and compose and edit a variety of letters or memoranda
  • Answer and refer incoming calls to the appropriate person or department
  • Provide administrative support to program staff as needed
Position Requirements

Education and Experience
  • High school diploma or equivalent
  • Associate Degree or equivalent - Preferred
  • 3+ years of previous office experience

Required Skills, Knowledge and Abilities
  • Strong customer service and communication skills
  • Must be able to handle a wide work variety and work in a fast-paced environment
  • Must have a high level of interpersonal skills to handle sensitive matters and confidential information
  • Must be a detail-oriented, organized, self-starter, and have an ability to prioritize workload
  • Ability to identify and resolve project application issues with customers and trade allies
  • Proficient in Microsoft Office, specifically Word, Excel and Outlook
  • Strong data entry skills in entering information in tracking systems/databases
  • Ability to communicate effectively, both verbally and in writing with customers, clients and employees.
  • Ability to analyze and interpret data and solve practical problems
  • Knowledge of mathematical concepts such as fractions, percentages and ratios

Licenses & Certifications
  • Valid driver's license

Travel Requirements
  • Willingness to travel up to 10%
