Position Summary

Reporting to the Associate Director of Academic Data and Quality, the Program Coordinator is responsible for supporting all facets of the planning and coordination of multiple academic and non-credit programs at University College. The Program Coordinator supports Program Directors and Adjunct Faculty.

This employee is responsible for areas of instructor support, coordination, and communication; data collection and maintenance; program and operational support; management of course details (e.g., quarterly and multi-term course schedules, faculty scheduling, textbook orders); and implementation of various administrative functions including, but not limited to, internal and external communications, meeting coordination, and other program-related tasks. The Program Coordinator works closely with other University College teams focusing on academic quality and Canvas training, course scheduling, and instructor assignment. Additionally, the Program Coordinator works with collaborative, cross-functional teams within University College to support both credit and non-credit academic programs.

Essential Functions

Program and Operational Support

  • Support Academic Directors and instructors through processes and protocols.
  • Answer questions, anticipate problems, provide materials, and refer to appropriate resources when necessary.
  • Work closely with Academic Directors, Enrollment Management, and Learning and Design Teams to achieve program enrollment objectives.
  • Coordinate automated and manual processes for quarterly and multi-term course schedules, instructor scheduling, and textbook orders.
  • Implement various administrative functions including, but not limited to, internal and external communications, meeting coordination, and other program-related tasks.
  • Calendaring as necessary for program coordination.
  • Coordinate special events for program related initiatives involving professional associations.

Data Collection and Maintenance

  • Proactively maintain and synthesize data from various inputs using designated technology and tools. Utilize data collection, dashboards and visualization tools related to program and operational support for instructors and course maintenance and details.
  • Oversee the collection and updating of course information, instructor files, and other organizing processes that facilitate efficient workflows within the operations team.
  • Interpret, monitor and update data dashboards and assist Academic Directors and other stakeholders in accessing and understanding them.

Adjunct Faculty Support

  • Responsible for adjunct faculty and instructor communication through analog and electronic channels such as email and software programs such as Qualtrics and auto scheduling tools.
  • Contact instructors to coordinate and complete information for the quarterly and annual schedules.
  • Assist in coordinating the program curriculum ensuring that courses have instructors and appropriate resources for delivery of all course modalities.
  • Communicate academic standards, procedures and policies, and other program information to faculty.
  • Provide high quality, high touch customer service to both internal and external stakeholders.

Knowledge, Skills, and Abilities

  • Ability to proactively identify issues and facilitate solutions.
  • Ability to effectively present information and respond to questions from staff, faculty, and the public.
  • Ability to formally, and informally, communicate with individuals at multiple levels of an organization.
  • Ability to prioritize, multitask, and manage time within an unstructured schedule with minimal oversight from management.
  • Data literacy and proven ability to accurately maintain data sets.
  • Demonstrated mastery with Microsoft Office Suite programs, particularly Excel and Word.
  • Familiarity of Adobe Acrobat.
  • Demonstrated skill in process and project organization and execution.
  • Demonstrated knowledge of University College academic programs.
  • Demonstrated skill in program, project, and event coordination.
  • Ability to work with diverse and multidisciplinary teams
  • Detail oriented and efficient.

Required Qualifications

  • Bachelor's Degree or equivalent work experience.
  • Two years of proven relevant administrative support experience in an office setting within a team atmosphere.
  • Experience with Microsoft Office Suite.

Preferred Qualifications

  • Mastery of Microsoft Office Suite.
  • Experience with Tableau and FreshDesk
  • Two years of relevant administrative experience within a higher education/adult learning setting.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $21.45 - $25.00.
