The Opportunity:

Embry-Riddle Aeronautical University's Payroll Services Department is currently looking for an experienced Payroll Specialist. Reporting to the Payroll Services Manager. The Payroll Specialist will be responsible for providing support in a deadline-driven, customer service environment. This role responds to employee inquiries while delivering quality customer service in a timely, accurate, and professional manner. The Payroll Specialist will have a variety of routine and non-routine payroll responsibilities including aspects of processing, reviewing, analyzing, and performing payroll functions with full accountability. The Payroll Specialist completes payroll cycles, adheres to established standards for accuracy and timeliness, provides excellent service to internal and external customers and maintains the confidentiality of all Payroll Services' and Human Resources' data.

Examples of Key Responsibilities and Opportunities for the Payroll Specialist:

  • Responsible for assisting with payroll preparation, including activities with the payroll system (Workday).
  • Ensures data reflects accurate information including current salary/wages, benefit deductions, personal leave accruals, and taxation.
  • Reviews and corrects timesheet errors, if any.
  • Reviews, processes, and reconciles graduate tuition waivers on a biweekly basis.
  • Processes weekly integrations (i.e., parking, retirement, and time tracking) for multiple departments.
  • Reviews and processes prorated benefit deductions to ensure proper processing on final paychecks for terminating employees.
  • Prepares reports for review by management based on state reporting requirements on a monthly and quarterly basis.
  • Works closely with Human Resources to ensure status changes are reflected in upcoming payrolls and any discrepancies are addressed and resolved.
  • Keeps current with payroll policy changes affecting payroll rules and guidelines; provides input to policies and procedures for payroll processing.
  • Acts as a main point of contact to address employee issues with payroll.
  • Remains knowledgeable and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required.
  • Maintains employee confidentiality and protects Payroll Services' operations by keeping information confidential in a secure manner.
  • Supports the Payroll Services Department with other various tasks as assigned.

Qualifications

  • Systems and technology: Intermediate use of Microsoft Office Suite with demonstrated strong skills in Excel. Experience with Workday preferred.
  • Education and experience: A minimum of three (3) years of experience working in payroll, or a similar role, required. Working knowledge of basic accounting principles and payroll practices. Higher education industry knowledge is a plus.
  • Professional skills: Demonstrated self-starter, with analytic, problem solving, and critical thinking skills. Ability to work well with diverse internal and external constituents in a team-oriented environment. Willingness to share knowledge and information and to learn new tasks. Coordinate and maintain multiple tasks simultaneously as well as deliver responses and results within established timeframes. Demonstrate initiative through early identification of problems and resourcefulness in timely resolution. Demonstrate openness and responsiveness to new ideas and change and able to influence others likewise. Project and establish a standard reflecting a professional image through dress, demeanor, and office environment.
