Position Summary

Position Summary:
The US Payment Operations team is responsible for processing the accounts payable and cash management transactions for the Americas region. This position is responsible for approving employee travel & expense (T&E) reimbursements, administering the Corporate Card program, responding to employee expense and policy questions, monitoring and maintaining current status of all expense reports, and supporting various department initiatives. The ideal candidate has a solid understanding of T&E reimbursement procedures, is detail-oriented, demonstrates strong analytical and critical thinking abilities, and has excellent organizational and communication skills. The candidate must thrive in a fast-paced environment and demonstrate an ability to navigate ambiguous requests.


Key Duties/Responsibilities

Primary Responsibilities:
Daily Responsibilities

  • Provide excellent customer service to employees.
  • Serve as a subject matter expert on the T&E and Corporate Card policies.
  • Submit new employee setup or modification requests to facilitate the reimbursement process.
  • Review, audit and approve T&E report accuracy and ensure employees are reimbursed timely; avoid aging delays and backlogs.
  • Monitor and enforce compliance with the Travel and Corporate Card policies, escalate issues, and report common policy exceptions to management.
  • Assist employees with handling credits and refunds issued for canceled travel.
  • Resolve employee reimbursement inquiries received through the Service Now portal: identify, prioritize, resolve, track and/or escalate urgent issues appropriately.
  • Monitor and process failed Concur reports directly in PeopleSoft.
  • Help administer the Corporate Card program and process application requests.
  • Inactivate corporate cards for terminated employees and ensure final expense reports are submitted timely.
Other responsibilities
  • Perform the monthly reconciliation of active cardholders against the active employee listing.
  • Monitor employee reimbursement amounts for possible downgrade/upgrade scenarios if platinum card thresholds are met.
  • Assist with the annual platinum card renewal bill reconciliation.


Qualifications

Requirements:
Education & Certificates
  • Associate or Bachelor's degree in Accounting or Finance field preferred, along with relevant experience in related industry
Professional Experience
  • Minimum 1 year of experience in an Accounting, Banking or Payment processing environment
  • Fundamental understanding of Accounts Payable and Accounting
Competencies & Attributes
  • Ability to complete tasks in a fast-paced, competing priority, high-volume and deadline driven environment
  • Strong communication, organization, time management skills, with a demonstrated track record in performance and accurate, timely task completion
  • Strong attention to detail, proactive and able to independently identify issues
  • Excellent customer service, ability to provide accurate and timely support for internal and external stakeholders
  • Strong working knowledge of SAP Concur Expense, Microsoft Suite, and Service Now, preferred
