Job Description:

Supervises staff and sets day-to-day operational objectives for team. Problems faced may be difficult but typically are not complex. Ensures policies, practices and procedures are understood and followed by direct reports, customers and stakeholders. Work is focused on supporting individuals, small teams or departments. Responsible for document editing, data entry and paper/electronic document filing/archiving, scheduling/coordinating meetings and travel arrangements, A/R and A/P entries, and other accounting and human resource tasks.

Key Responsibilities:

  • Oversees three main areas of the operation: Accounting - Customer Service - HR
  • Oversees, assists and is the back-up customer support service, ensuring tasks are completed in a timely and effective manner.
  • Coach and mentor staff on customer service responsibilities and tasks
  • Schedules group meetings, maintains calendars and manages daily operations. Maintains records, documentation, and files, particularly more complex or sensitive files.
  • Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time.
  • Completes, prepares, and distributes various financial reports and documents. Produces financial month-end reports to Finance and other reports as needed.
  • Recruits and hires new colleagues. Performs new hire and benefit orientations.
  • Processes payroll, manages attendance tracking.
  • May process workers' compensation paperwork and maintain spreadsheet.
  • Assists colleagues with day to day HR related tasks. Maintains employee files.
  • Manage office supplies inventory and place orders as necessary.
  • Performs other related duties as assigned.

Education and Experience:
  • Typically possesses Bachelor's degree (or equivalent) and 4-8 years of experience.

Knowledge and Skills:
  • Excellent verbal and written communication and customer service skills.
  • Proficient understanding of Microsoft Office Suite software.
  • In-depth understanding of clerical procedures and systems such as recordkeeping and filing.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong supervisory and leadership skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Strong attention to details.
