Our client, an investment firm located in Boston, MA, is in search of an Office Administrator to join their team! This person will go into office Monday through Friday from 8:30am to 5:30pm, and pay is $25 an hour! This is a fantastic role for an administrative professional who is excited to work with an incredible team in a start up office. As an Office Administrator, you will help keep the physical office organized: office supplies, closets, kitchen area, plants, filing systems, etc. You'll also be answering phones, greeting guests, assisting with calendar management, reconciling expense reports, etc.. Candidates with a background in administration who have positivity and a good attitude are encouraged to apply!

Responsibilities may include:

  • Acting as a support for investment team
  • Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
  • Provides administrative support such as answering phones, sorting and distributing mail and acting as a gatekeeper
  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor's system
  • Ordering food as needed for internal meetings and office
  • Completion of detailed corporate expenses including tracking receipts and reimbursements
  • Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
  • Maintains inventory of office supplies and equipment, including cleaning, maintenance, repairs, and ordering as needed.
  • Coordinate and drive various culture initiatives

Qualifications:

  • 1+ years of administrative assistant experience supporting a team of 3 or more
  • Thrives in a high-pressure environment
  • Strong communication skills
  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize competing tasks and deadlines
  • Perform duties with the highest level of confidentiality and integrity
  • Experience with coordinating travel arrangements
  • An autonomous worker with strong follow-through skills
  • Ability to build relationships with key players and management
  • Creative thinker
  • Extensive familiarity with Microsoft suite
