JOB DESCRIPTION

The NAA Operating Discipline Management System (ODMS) Lead will lead the successful implementation and utilization of the ODMS, including the Web electronic Documentation Management System (eDMS), Web Management of Change (MOC), Event & Action Tool (E&AT), File share, etc. and ensure ODMS is effectively implemented, utilized, and maintained and value creation is maximized.

RESPONSIBILITIES

  • Exhibits exceptional attention to detail in documentation, verbal and written communication, and reporting.
  • Proficient in Microsoft applications, including Word, Excel, Outlook, and PowerPoint, with a quick ability to grasp new systems.
  • Possesses a thorough understanding of the change management process.
  • Displays strong leadership qualities for effective management of employees across multiple sites.
  • Demonstrates efficient and effective time management skills.
  • Adept multitasking, problem-solving, and time management skills.
  • Functions effectively within an empowered team environment.
  • The minimum requirement for this U.S.-based position is the ability to work legally in the United States on a permanent basis.
  • Additional tasks and responsibilities assigned by leader.

Key Responsibilities:
  • Lead the North American region as the primary expert in Newmark at Dow, overseeing the management of documentation, Dow-related systems, and compliance workflow processes.
  • Coordinate and forecast upcoming training, providing leadership with reports showcasing team completion percentages, the risk of overdue training, and the impact on Dow's delegation of authority for work tasks.
  • Facilitate communication with North American Newmark Leaders, offering support as needed.
  • Drive innovation and optimization within the ODMS team's support, consistently seeking advancements.
  • Set and maintain appropriate expectations for ODMS employees in North America.
  • Guide the review of completed Dow EHS Standard Self-Assessments, tracking necessary actions in the Event and Action Tool (E&AT) until closure and adhering to the relevant record retention policy.
  • Ensures seamless support for Dow internal and external audits, consistently upholding audit readiness within our team.
  • Develops, oversees, and instructs based on the ODMS Playbook.
  • Takes the lead in guiding our team towards the accomplishment of key and critical performance indicators.
  • Define and allocate current resources to ensure the management system adds value to the organization.
  • Coordinate, measure, and track ongoing efforts to maintain the ODMS system, minimize unplanned events, and maximize value from ODMS usage.
  • The position follows a standard 5-day workweek.


QUALIFICATIONS

Preferred Qualifications:
  • 5 or more years of previous experience in a document management system role preferred.
  • Training or auditing experience preferred.
  • Associate or bachelor's Degree; or a minimum of a High School Diploma or GED with at least two years of applicable experience is required.
  • Travel (as necessary) to the NAA hubs to evaluate resource coordination support efforts, support audit readiness programs and promote healthy continuous improvement measures.
  • Lead/Coach/Influence through compelling data/storyboarding/programs for change to improve and drive systematic improvement through applied behavioral sciences.
  • Provide sound strategic and innovative solutions within Manage Implementation Plans.
  • Evaluate opportunities for improvement and pilot best ideas through six sigma, value stream mapping or LEAN methodologies.
