The Position

The Legal Operations Analyst supports operations for Heico's Legal Department. This position will be responsible for, the management and optimization of the department's Legal Tracker system (matter management and outside counsel billing software system). In addition, the Legal Operations Analyst will track and analyze metrics and data sets, oversee the outside counsel billing process, and create reports for the internal legal team, Heico's enterprise, platform, and operating units.

Job Description

Primary Responsibilities

  • Manage the department's Legal Tracker system: ensure accurate data input, troubleshoot/resolve system and data issues, and analyze department data trends.
  • Manage the outside counsel and vendor billing process: opening/closing matters, onboard new firms/vendors, and coordinate invoice distribution with accounts payable.
  • Responsible for department reporting: create department spend reports, build, schedule and maintain automated reports for company leaders.
  • Collect and track data for use in accurate analysis to drive Legal Department decision making.
  • Create playbook for department systems and processes and identify, recommend, and implement process improvements.
  • Automate/optimize department processes.
  • Work with corporate and operating unit accounting departments on cross-department billing processes.
  • Assist with other legal operations and broader legal department work, initiatives, and projects.

Job Requirements

Education: Bachelor's Degree

Skills & Relevant Work Experience:

  • Excellent analytical skills and comfortable with multiple data sets.
  • Ability to draw conclusions and make informed recommendations.
  • Demonstrated analytical and organizational skills with critical attention to detail.
  • Proven ability to maintain discretion and confidentiality.
  • Excellent verbal and written communication skills with ability to communicate effectively and concisely with stakeholders, including senior management.
  • Provide strong project management and facilitative skills
  • Adapt to the changing needs of the department while meeting deadlines.
  • Team player who is willing to be flexible and adaptive.
  • Proficient om the Microsoft Suite, including Excel and PowerPoint; proficiency with Microsoft Power platform is a plus.
  • Familiarity in an in-house legal department or law firm is a plus.
  • Knowledge with Legal Tracker or another matter management and/or billing management software is a plus.
