Maintain, coordinate and administer all financial obligations required under the lease for all company operated retail brands of Inspire Brands to ensure compliance and help protect and safeguard its real estate assets.


RESPONSIBILITIES:

  • Ensure all renewals and extensions are approved and exercised prior to deadlines to safeguard against loss of a restaurant due to non-compliance of notice requirements which includes making the decision to request notice date extensions. Decides if non-material changes to documentation requested by third parties are acceptable in each instance. Determines the timing in which to follow up with document review to complete transactions prior to deadlines.

  • Oversees and participate in the review, drafting and execution process for legal documents as needed including but not limited to subleases, promissory notes, new and/or acquired leases, amendments, termination agreements, assignments, easements, OEA's/REA's, license agreements, etc.

  • Manage all landlords and other lease vendors in Costar database to ensure precise records, including Landlord and vendor address and payment changes, ownership transfers and change in contact information, tracking for all necessary documents. Audit all change of ownership documents to ensure correct documentation (i.e. deed, assignment, etc.) has been provided.

  • Provide lease interpretation and guidance to Real Estate, Accounting and Operations regarding lease terms and definitions.

  • Point person for problem solving and research involving inquiries for property issues, repairs and maintenance responsibility, rent, property taxes, sales tax payments and any other matters. Determines what information to share with individuals outside or internally of the company based on the request.

  • Manage critical reporting data (i.e. P&L's, Contingent Liability, quarterly and annual financial statements) utilized by internal and external sources to support Inspire's lease compliance.

  • Maintain excellent long-term relationships with external clients such as Landlords and lenders as well as internal clients such as Lease Accounting, Fixed Assets, Real Estate Tax, Brand Accounting, Sales Tax, Accounts Receivables and Risk.

  • Assist insurance brokers with processing of insurance certificate changes and determine what can/cannot be included on certificate based on third party requests. Track receipt of subtenants' insurance certificates to meet critical renewal date and review for accuracy.

  • Assist with internal department projects when needed or special projects needed to assist Vice - President of Lease Management; (i.e. Ecotrak, Landlord EFT Conversions, A/P Tax ID compliance for Landlords, Oracle Cloud Vendor clean-up, etc.)

  • Helps determine when Lease Administration processes and procedures need to be updated.

  • Calculate and process monthly payments for accuracy

EDUCATION QUALIFICATIONS:

  • Required Minimum: 4 years of College
  • Preferred: College Degree or Paralegal Degree

EXPERIENCE QUALIFICATION:

  • Required Minimum: 1-3 years of Lease Administration, Accounting, Business Administration or Legal Experience.
  • Preferred: 2 - 4 years of Lease Administration or Accounting experience.

REQUIRED KNOWLEDGE, SKILLS or ABILITIES:

  • Lease abstraction experience.

  • Knowledge and understanding of lease financial requirements.

  • Strong understanding of calculating rent adjustments including fixed, CPI, FMV, and other means of rent adjustments.

  • Strong understanding of percentage rent calculations and reporting.

  • Strong customer service attitude.

  • Proficient in Microsoft Word, Outlook and Excel.

  • Ability to thrive in a fast-paced environment with constant changes.

  • Ability to multi-task many activities, projects and timelines.

  • Good organizational skills, attention to detail, and accuracy.

  • Self-starter with the ability to set priorities and goals and work to accomplish the goals.

  • A track record of building positive and respected relationships with team members and other functional departments.

  • Performance driven, results orientated with a strong work ethic.

  • Excellent interpersonal skills including oral & written communications with a customer service mentality.
