Customer Sales & Inventory Specialist

The Customer Sales & Inventory Specialist will report to the ERP, Procurement & Inventory Manager. They will focus on customer sales order processing, inventory management, and enterprise resource planning (ERP) system data entry. They will have strong organizational skills and maintain attention to detail. In addition, a successful Customer Sales & Inventory Specialist will be proactive, demonstrate adaptability, critical thinking, dedication, and problem-solving skills. Their actions help lead to cross-functional team success by both ensuring manufacturing has the materials they need to produce and that they have a clear understanding of what needs to be accomplished.

What You'll Do:

1. Process Customer Orders:

• Receive and accurately process customer orders, ensuring adherence to company standards and policies.

• Collaborate with various departments to facilitate the timely fulfillment of orders, maintaining a focus on customer satisfaction.

• Address any customer inquiries or concerns regarding orders promptly and professionally.

2. Invoicing & Accounts Receivable Collections:

• Generate and dispatch invoices to customers in a timely and accurate manner.

• Verify invoice details, including pricing and quantities, to ensure accuracy and compliance with company policies.

• Maintain organized records of all invoices and related documentation for reference and audit purposes.

• Engage with customers to resolve billing discrepancies and facilitate prompt payment processing.

3. EDI Interface Experience:

• Utilize EDI (Electronic Data Interchange) interface for electronic order processing and communication with customers.

• Ensure proper configuration and compliance with EDI standards and protocols.

• Troubleshoot and resolve any issues related to EDI transactions to maintain smooth operations.

4. Inventory Activities:

• Perform routine inventory checks to assess stock levels and ensure availability of products for customer orders.

• Allocate sales orders, generate credit invoices, initiate and receive transfer orders, create and track work orders, submit purchase orders, and receive purchase orders.

• Coordinate with the inventory management team to reconcile discrepancies and maintain accurate inventory records.

• Support procurement and inventory team as needed to support production and warehouse operations.

• Help coordinate office activities and administrative tasks..

TheQualifications:

• Previous experience in a similar role, preferably within the food service industry or related field.

• Proficiency with ERP systems (e.g., Oracle NetSuite) for order processing, inventory management, and invoicing.

• Experience working with EDI interface for electronic transactions is highly desirable.

• Strong proficiency in Microsoft Excel for data analysis and reporting.

• Excellent communication skills, both verbal and written, with a focus on delivering exceptional customer service.

• Detail-oriented mindset with a commitment to accuracy and efficiency in all tasks.

• Ability to multitask and prioritize workload effectively in a fast-paced environment.

Physical Requirements:

• Physical dexterity, ability to lift up to 45lbsand push/pull rolling bowls, carts, and containers with up to 50 lbs of product.

• The ability to work in varied environmental conditions (dry, cold)

• The ability to stand and work on feet for 8 to 10 hours at a time

• Must be able to identify, assess and observe detail

• Ability to communicate with others and exchange information accurately and effectively.

• Ability to squat, kneel, bend and twist

• Ability to work in a constant state of alertness and in a safe manner
