Title: Graduate Program Coordinator

Primary Function:

Under supervision of the Director of Graduate Programs, this position will manage all administrative duties related to the graduate program in the Department of Agricultural and Consumer Economics (ACE) and serve as the department's primary interface with the Graduate College, International Student and Scholar Services, and other organizations outside the department in matters relating to graduate programs.

Program Administration:

General:

• Serve as administrative liaison between the department and the Graduate College, International Student and Scholar Services (ISSS), and other College and campus offices.

• Serve on committees, attend meetings, and collaborate with individuals in graduate student services to stay current on policies and procedures.

• Use existing university systems to track and provide individual student progress, annual student academic and employment reviews, and program metrics, including but not limited to the length of time in the program/to degree completion, key degree program milestones reached/requirements met, academic/research advisor(s), and employment supervisor history.

• Manage and record information related to the graduate program, such as applications, offers, advisor selections, fellowships granted, Responsible Conduct of Research (RCR) certification, approved individual course plans, core exam results, second-year paper proposals, final evaluation results, annual student evaluations, student petitions, student activity reports, student placement reports, and the alumni directory.

• Develop and maintain outcomes assessments and data analysis for the graduate program.

• Work with the Director of Graduate Studies to input and maintain the list of assistantships for graduate students in the fall, spring, and summer.

• Coordinate nominations for Graduate College grants and awards. Certify eligibility requirements are met. Compile required documentation promptly to meet Graduate College and Departmental deadlines.

• Ensure necessary paperwork is complete to assign fellowships. Confirm status eligibility requirement is met to receive a fellowship.

• Backup support for departmental administrative functions in emergencies

Graduate Admissions:

• Verify submission and certify all application documents and ensure eligibility of recommended candidates, including department requirements.

• Manage the notification process for students regarding admission decisions and offers. Confirm the accuracy of offer letters, including funding amounts.

• Present answers to applicants' and admitted students' questions and resolve issues as needed.

• Ensure completion of all admitted students through finalization of admission, enrollment, and visa application.

• Collaborate with Departmental Graduate Program Leaders on organization and planning of pre-semester newly admitted student events (math camps and orientation).

Graduation/Placement:

• Review format of theses and dissertations, work with Grad College on final deposit, coordinate approval of committees, and audit of degree completion.

• Certify completed students to College of ACES and Grad College. Confirm all Graduate College and Departmental graduation eligibility requirements for each student.

• Direct students to information on the deadlines related to graduation processes.

• Ensure thesis and dissertation committees meet Graduate College and Departmental requirements. Assemble and present the College and University options to "walk" for graduation and participation in the Departmental Graduation Reception. Authenticate event-associated eligibility requirements are met.

• Provide administrative support for the annual graduate student job market (Oct-Jan).

Student Support:

• Serve as point of contact for admitted and prospective students and plan visits for prospective students. Provide accurate and knowledgeable responses to admitted and prospective students' questions promptly.

• Facilitate student entry to the campus by coordinating housing searches and providing information about the campus and the community.

• Upload students' job market documents. Ensure the website list of grad students on the job market and job notices are current. Verify students have met the requirements to be listed on the "Job Market Candidates" page.

• Provide advising for graduate students in matters such as changes to academic status (petitions, withdrawals, course changes, etc.).

• Oversee student registration for the English Proficiency Interview (EPI) and TA training.

• Manage ACE Graduate Ambassadors who work to welcome and inform prospective and new admitted students.

Departmental Support:

• Other duties as assigned in support of the department

Qualifications:

Required:

Education: Bachelor's Degree in agricultural economics, economics, communications, technology or a related field

Experience: One year of experience in organizing and managing program activities and experience in preparing organizational communications

Preferred:

Education: Master's Degree in agricultural economics, economics, communications, technology or a related field

Experience: Experience working in graduate programs area at an institution of higher education

Appointment Details: The position is classified as a 100%-time civil service Program Coordinator on a 12-month service basis. Immigration sponsorship is not available for this position. Salary/Appointment: Commensurate with education and experience. The starting date will as soon as possible after the closing date.
