This is an exciting time of growth for our school, and we are hiring two Finance Administration Coordinators who will serve in a hybrid role (2 or 3 days remote) within the Dean's Office supporting the Finance Manager, Assistant Dean for Finance, and department Fiscal Officers. While these are new positions that will evolve, you'll become a subject matter expert for the school in the following areas: Purchasing, Travel, and Financial Aid.

Job Summary

Department Specific Responsibilities

  • Intiates requisitions (including grant sub-award requisitions), enters receiving information, and researches and resolves issues with requisitions, purchase orders, invoices, and payments.
  • Tracks and posts SIS awards; researching and following up on issues.
  • Reviews/approves travel and expense requests for funds availability and compliance.
  • Initiates other financial documents.
  • Participates on projects such as: coordinating summer salary requests; handling the graduate work study allocation process; and special projects from time to time.
  • Cross-trains with other finance staff-providing and receiving coverage
  • Serves as a backup for scholarship/fellowship award management and entry.
  • Regularly communicates with others in the Dean's Office, school departments, and external offices, such as the Office of the Provost, the Office of the Vice President of Research, the Bursar, the Office of Student Financial Assistance, and the Office of the University Controller.
General Responsibilities
  • Under moderate supervision, performs financial and administrative tasks related to processing financial or other administrative records.
  • Processes documents into the university's central information systems (Travel, KFS, HRMS, etc.) and verifies that information is correct. Investigates and resolves discrepancies in financial documents.
  • Maintains records of financial transactions, compiles data, and prepares reports.
  • Verifies accuracy of adjustments to payroll including supplements and garnishments. Audits, coordinates, and processes payroll; verifies accuracy of payroll information.
  • Confirms available accounts and ensures timely payments are made to payees.
  • Responds to inquiries regarding financial and/or personnel policies and procedures.
  • Serves as a liaison to department and/or other university divisions.
  • May provide guidance to lower-level employees on their day-to-day work.

EDUCATION

Required
  • High school diploma or GED
Preferred
  • Associate's degree
WORK EXPERIENCE

Required
  • 2 years of relevant experience

  • Basic accounting and financial skills; ability to reconcile accounts.
  • Prior demonstrated ability to apply concepts and policies to daily work functions
  • Good oral and written communication skills
  • Ability to clearly present material and make it accessible to a specific audience.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$19.25 - $22.00 per hour

($40,040 - $45,760 annualized)
