The Department of Mechanical Science and Engineering, consistently ranked in the top 10 programs in the nation, is seeking qualified candidates for the full-time position of Facility Operations Coordinator. This role will care for the recently renovated and award-winning engineering facility focused on energy, occupant health, and wellness as well as world-class research and instructional laboratories that cover the gamut of mechanical engineering. Job Summary:

This position will provide effective facility management, operation, safety, and security affecting the facilities, grounds, space, and inventoried equipment within the department of Mechanical Science and Engineering.

Duties & Responsibilities:

Facilities Monitoring, Maintenance, and Renovation

• Responsible for day-to-day operational performance, cleanliness, and access to departmental facilities including research labs, classrooms, offices, and auxiliary spaces.

• Coordinate departments' non-capital renovation projects and newly purchased equipment. Prepare scope, estimates, and schedules for projects and work with College, Campus (F&S), and others as necessary to complete such projects.

• Coordinate and monitor the status of all work orders and drive work to completion.

• Responsible for routine walks to observe, note, and resolve issues pertaining to building interior environment, building exterior/ grounds, and Internal/external cleanliness with utmost and personal care. This includes assisting all spaces in general, housekeeping and maintaining clean and organized environments.

• Maintain a safe working environment by assisting Division of Research Safety audits, performing internal cursory audits, pursuing issue resolution, implementing a building emergency plan, serve as liaison to Granger Engineering safety working group, plan annual building fire inspections with Urbana and Champaign Fire Departments.

• Maintain current knowledge in the field of facilities management. WELL, LEED, maintenance, security, and safety.

Implement departmental and campus policies and procedures regarding WELL, LEED, Division of Research Safety, and University policies and procedures.

• Serve as first point of contact in the event of a building emergency or after-hour call.

• Operate lift truck, forklift, and similar tools/equipment commonly used for delivery acceptance, equipment placement and relocation.

Oversee routine care for building plants including watering, pruning, feeding, and replacement.

• Oversee maintenance and usage of departmental trucks (gas and services)

Space Management

• Responsible for managing graduate student desk assignments, which includes periodic review of departmental graduate desk space utilization, reassignment, relocations, and accurate records.

• Responsible for moving and preparing faculty and staff offices as directed or requested.

• Assist with set-up and takedown of events including placement of furniture and equipment for a variety of events in a variety of spaces including conferences, short courses, seminars, meetings, gatherings, guests' presentations, open houses, tours, and camps.

• Monitor overall space use and allocation.

Inventory Management

• Responsible for the oversight of all moveable equipment, including proper location tracking and accuracy of equipment records.

• Complete and certify a physical inventory of university movable equipment every two years via the campus biennial inventory process

Shipping and Receiving

• Supervise the department's receiving and shipping operations to ensure compliance with all federal, state, and University policies and procedures related to the acquisition and disposition of property including entering property into database and tagging inventory.

Other Duties as Assigned

Minimum Qualifications

• High School Diploma or equivalent.
Any one or combination totaling three (3) years (36 months) from the categories below:
college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
60 semester hours or an Associate's Degree equals one (1) year (12 months)
training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

P Possession of a valid driver's license

Preferred Qualifications

• Two years of supervisory experience

• Associates Degree in Engineering, Business or related field

Physical Demands

Exposure to magnetic, explosive, toxic, caustic chemicals, biological, and electrical hazards, fumes/particles/allergens. Located in a semi-private office at a desk in conditioned space. Will routinely be in tight, unconditioned space, on sloping roofs, in underground tunnels, outdoors, and non-ADA facilities. This position will require the management, lifting, and positioning of heavy items. The work involves frequent moving and rearranging of office building, and lab furniture and delivery of such items. The work environment includes stooping, crawling, and climbing. Subject to stress induced by controlling project budgets, limited funding, demanding clients, project deadlines, changing priorities and managing multiple tasks. The position Involves a mix of remaining in a stationary position and in motion.

Knowledge, Skills and Abilities

• Familiarity with methods, codes, standards, and tools involved in safe facility management.

• Awareness of Federal, State, Campus, College and Department building policies and guidelines.

• Proficiency with a variety of computer software applications, including Microsoft Word and Excel, database software and specialized web-based software such as FabWEB.4.

• Ability to effectively communicate both verbally and in writing Demonstrated ability to work independently as well as in a team

• Contribute positively via professional, understanding, kind and patient treatment with diverse population

• Aptitude for light maintenance, cleaning, and furniture assembly or mounting

• Ability to organize, prioritize, and execute tasks independently,

• Ability to build and maintain cordial working relationships with building occupants and external parties.

• Ability to travel to campus as necessary to aid first responders in cases of emergency or access

• Knowledge of WELL policies, LEED policies, and future forward thinking policies that evidence care and responsibility to facilities occupant.

• Ability to use good judgment, time management, task prioritization, conflict resolution, and creativity

• Ability to assist faculty, staff, students and guests in an efficient and professional manner

• Ability to manage complex duties with guidelines and rules that are not always clear, using good judgment and initiative

Appointment Information

This is a 100% full-time exempt Civil Service Facility Operations Coordinator position appointed on a 12-month basis. The expected start date is as soon as possible after close. Salary is commensurate with experience.
