What's the role?

HERE is seeking a detail-oriented, self-motivated individual with a history of achievement to assist the VP, Corporate Development & Resources & VP, Data Strategy & Acquisition, based in Chicago. This is a highly visible, high impact position which requires a polished professional with proven experience providing support to executives.

Job Responsibilities:

  • Executive support to the VP, Corporate Development & Resources & VP, Data Strategy & Acquisition , which shall include but not be limited to making travel arrangements, managing calendars including meeting coordination across all global time zones, and managing expenses.
  • Support general office administration which shall include but not be limited to preparation of office supplies, equipment maintenance, correspondence, reports and copying, and couriering documents as needed.
  • Plan, book and execute regular team events (management meetings, executive hospitality events, catering, etc). Coordinate office team outings, employee relation activities, and customer/partner visits as required.
  • Creation and management of purchase requisitions/orders/invoices as requested. Assure supplier payments for corresponding orders are paid on time.
  • Support team administration tasks and assist with onboarding of new employees as needed.
  • Regular contact and coordination with other departments, including those located overseas. Build internal relationships with other assistants, employees, and executives throughout the team and across the global company.
  • Make on-going contributions to the development of departmental efficiencies. Involvement in project and ad hoc activities where appropriate such as assisting in preparation of presentations, status reports, and training materials.


Who are you?

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • Min five (5) years of relevant experience. Experience working with senior management and working for a global organization with managing calendars and meetings across various time zones and international travel coordination.
  • Demonstrates knowledge of general office practices, policies and principles including ability to react with appropriate level of urgency and prioritization.
  • High level of integrity, competence and discretion dealing with executives both inside and outside of the organization.
  • Good communication skills, both oral and written. Proven interpersonal and human relations skills and ability to work with a wide variety of internal and external stakeholders.
  • Attention to detail, drive and ability to work independently.
  • Proficiency with MS Windows products and ability to learn to utilize other company software/systems such as PeopleSoft and WebEx.
