SUMMARY:

Responsible for all aspects of the planning, implementation, and management of Commencement for all schools within the University. Supports the office of Advancement and other campus departments with the planning and execution of key events as assigned. Serves as an integral member of the events leadership team, assisting in scheduling requests for support and service for campus events in conjunction with the Assistant Director and Director of Events.

RESPONSIBILITIES:

Commencement

  • Manages the campus-wide planning process for Commencement weekend with affiliated senior administration, academic divisions, University marshals, and supporting services working within policies, procedures, and budget as defined by the Provost and President's Office.
  • Plans all logistics including, but not limited to, event schedules, timelines, technical services, regalia for speakers and guests, musicians, decor, ushers, and catering/dining.
  • Manages platform party logistics to include rehearsals and hospitality.
  • Develops and maintains commencement website and social media presence in collaboration with Communications Office Coordinates and approves printed graduation materials.
  • With the Assistant Director, Events, manages and monitors the Commencement budget by researching and documenting all standard expenses; advises directors of projected costs for budget forecasting.
  • Chairs the Commencement planning committee.

Support for Major Campus Events
  • Provides assistance and support in the planning, logistics, and oversight for events sponsored by the office of Advancement, Academic Departments and other campus areas including major, high-profile institutional events and speaker services events.
  • Directs and coordinates the operational execution of assigned events, to include budgets, speakers, facilities, catering, staffing, technology, equipment, logistics, and/or other related issues.
  • May assist the Secretary of the Board of Trustees with board events, as requested.
  • Facilitates events on-site, as needed, ensuring that event operations are cost effective and in accordance with goals and objectives; maintains relationships with attendees and resolves or manages the resolution of major problems and issues as they arise.

Additional Duties
  • Schedules logistics for other campus-wide events as assigned, such as freshman orientation and transition programs; provide on-site event management as required
  • Serves as member of the events leadership team, acting as the lead event resource for the Assistant Director or Director of Events in their absences.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:
  • Excellent communication skills.
  • High level of integrity and discretion, and ability to maintain confidentiality and professional composure.
  • Knowledge of and commitment to institutional protocols. Ability to communicate in courteous, professional, and timely manner to enhance and maintain the image and level of excellence appropriate to highest levels of University administration.
  • Exceptional organizational skills and the ability to balance a variety of tasks with a high degree of competency and accuracy.
  • Ability to make effective administrative/procedural decisions and judgments. Strong skills in problem solving, multi-tasking, public relations, and customer service.
  • Detail orientated with demonstrated skills in effectively anticipating and organizing work priorities to meet and manage multiple pending deadlines and priorities.
  • Ability to adapt quickly, efficiently and with tact and diplomacy to changing priorities and creatively solve problems.
  • Extensive experience planning and executing all aspects of high-level events and meetings including logistics, catering, travel, and related policies, etc.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Knowledge of finance, accounting, budgeting, and cost control procedures. Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections. Ability to negotiate and manage contractual arrangements.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing

EDUCATION & EXPERIENCE:
  • Bachelor degree and three years' successful large-scale event planning experience, or comparable education and experience.

WORK HOURS:
  • Full-time, exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
  • Must be flexible to work evenings and weekends as needed for commencement and other campus events

SALARY STRUCTURE:
Pay Grade 6 (Hiring Range $44,775.00 to $59,325.00 annually)
