The Opportunity

The Events & Outreach Coordinator supports the mission of the university by administratively assisting the Summer Programs, Outreach and Events teams in producing quality 'event management' to the campus and community. The position requires solid clerical and technical skills with a high interpersonal capability in a constantly changing physical environment.

Perform general office duties for Summer Programs/STEM Outreach or as assigned by manager. This includes but is not limited to answering the main Summer Programs phone line, handling/answering program inquiries, maintaining the prsummer email inbox, responding to requests, creating, and maintaining files for each program participant, tracking the registration of all participants in a data base and ensuring all necessary paperwork is received (including confidential medical records), keeping the data base updated regularly and keeping up with any program waitlists.

Basic accounting functions to track and handle payments for both internal and external groups.

Scholarship program applications processed, and essays tracked.

Interact with parents and participants in answering questions with professionalism.

Participate in scheduling summer programs student worker staff.

Perform any administrative duties needed for STEM Outreach or Campus Events.

Qualifications

Required Education

Read and comprehend instructions, write information, and complete simple forms.

High school (or GED) level ability in spelling, grammar, basic composition, and math.

Required Minimum Number of Years Work Related Experience

1-3 years

Required Skills, Knowledge, and Abilities

The position requires the knowledge of principles and processes for providing customer service.This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Communication with individuals both internally and externally is a necessary function of this position.A degree of business acumen including the knowledge of accounting, billing, and business communication is essential.Must possess the ability to organize, prioritize, multi-task, and work well under pressure to meet deadlines.The position also requires attention to detail, and a willingness to take on responsibilities and challenges. Skills with Microsoft office products necessary; irregular job hours and overtime may be required.
