About the Department:

Development and External Affairs (DEA) supports SMU by securing funding for University priorities; by promoting meaningful involvement in the life and work of the University; by heightening international, national, state and local awareness of SMU; and by supporting the enrollment of a diverse and able student body.

DEA comprises the offices of Office of the Vice President, Annual Giving and Alumni Relations, Development Services, Program Services and Donor Relations, Marketing and Communications, Principal and Major Gifts, and School and Project Development.

SMU continues to leverage the benefits from the largest fund-raising campaign in its history to achieve dramatic increases in academic quality and impact.

About the Position:

3 positions available - The Event Assistant will provide administrative support for University events and other special projects housed in the Program Services office and in the division of Development and External Affairs.

Responsibilities include, but not limited to, to coordinate and track event attendance and ticket sales, provide event logistics support, and general office support.

Essential Functions:

  • Coordinate and Track Event Attendance and Ticket Events: Responsibilities include to accept responses and orders via mail, email, online and phone, database creation and management, work with the project lead to produce necessary documentation, receive revenue and process gift transmittals and ticket sales, track event participation in SMU's Customer Relationship Management (CRM) database.
  • Provide Event Logistics Support: Responsibilities include to coordinate mailings, update event calendars, produce correspondence, print name tags and other needs, assist with vendor management, submit invoices, coordinate staff volunteers, and provide staff support at events. May include joining team who greets guests and manages vendors during football games at President's football suite.
  • Provide Administration Support: Responsibilities include to screen and refer telephone calls, manage correspondence, assist with board and sponsor relations, maintain office inventory, maintain event files and data entry.
  • Assist in execution and staffing for all Program Services events.
  • General Office Support for Program Services Team: Responsibilities include to receive and sort mail, answer phone calls and assist with ticket sales for all Program Services events. To assist in building-wide administrative support, and other duties as assigned.
  • The position requires regular evening and/or weekend work


Qualifications

Education and Experience:

High school diploma or equivalent is required. Bachelor's degree preferred. Development internship desired.

A minimum of one year of work experience providing clerical and administrative support in an office environment is required.

Some events experience preferred. Experience in a non-profit environment desired, working with multiple constituencies including students, faculty, donors and Board members successfully is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. A strong customer service orientation is essential, in order to work with multiple constituents including students, faculty, donors and Board members successfully.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills with the ability to simultaneously manage multiple tasks. A strong focus on attention to detail is essential.

Candidates must demonstrate a strong proficiency in Microsoft Word, spelling and grammar. Database management experience is required, preferably Cvent and/or Filemaker Pro.
