Job Description includes the following. Other duties may be assigned as needed.

  • Maintain engineering and process documentation in accordance with internal procedure
  • Direct document control activities for both engineering products and QMS documentation. In this critical role, the following configuration activities may include engineering change order (ECO) routing, document change order (DCO) routing, formal release, and document storage.
  • Prepare data package (actual prints) for FAA data filing
  • Perform following administration task under supervision
    • Various statistical analyses using data drawn from diverse sources (i.e. MRP) to map and identify genuine trends and relationships.
    • Reports, result of statistical data, and key process indicators compare to predefined management goal.
  • Meeting and presentation clerk, supporting the collection and distribution of minutes and action items.
  • Under supervision and guidance of senior management be responsible for internal communications when assigned to do so
  • Serve as back-up to administrative personnel as required

QUALIFICATIONS

  • Associates Degree in business administration or engineering
  • Advanced Microsoft Office (Word, Outlook, Excel, Access, and PowerPoint)

EXPERIENCE & REQUIREMENTS

  • Background working with engineering
  • Must have expertise in creating presentations
  • Motivated, self-starter, proactive, analytical/problem solving with minimal supervision
  • Ability to work under time constraints, excellent follow-through, persistent, highly collaborative, and organized.

Administrative job duties:

  • Answer general phone inquiries
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying
  • Open, sort and distribute incoming correspondence
  • Data entry and scan documents
  • Expense reports for directors and engineering employees
  • Travel arrangements
  • Maintain electronic and hard copy filing system
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies, placing and verifying receipt of supplies for Document control office and Eng.
  • Ensures operation of office equipment; calling for repairs, ordering supplies
  • Assist in the preparation of regularly scheduled reports
  • Use computer word processing, spreadsheets, prepare memos
  • Code and file material according to the engineering procedures
  • Update and ensure the accuracy of the organization's databases
  • Prepare and modify documents including reports, memos and emails.
  • Maintain Patent files and invoices
  • Assist other company departments; QC , Production and Shipping when needed
  • Cover all Document Control functions when necessary.
  • Key Process Indicators
  • Compliance Matrices for Marketing
  • Supports engineers adheres and needs as well as the Director of Engineering
  • Assist employees with Gensuite trainings
