This is an exciting new position created to lead a wide range of programmatic efforts within a new joint BWH and MGH pathology residency training program. This training program is being created by the merger of two outstanding programs at BWH and MGH and will be the largest pathology training program in the U.S. Taking substantial initiative, the Director of this new MGB Pathology Graduate Medical Education Program will have primary responsibility for program personnel, operations, financial management, long-term planning, and project development for educational programs and activities in the MGH and BWH Departments of Pathology. The MGB Pathology GME Director will also oversee hiring, training, and supervision of program coordinators at both institutions to support the merged residency program (70+ residents), 20+ fellowships (50+ fellows), and 7 medical student clerkships, and will closely collaborate with departmental leadership, residency program directors, fellowship program directors, and clerkship directors, and the MGB GME office in ensuring educational program goals are met. The role requires a background in education and curriculum design and a thorough understanding of hospital, ACGME, and other regulatory bodies' policies. The MGB Pathology GME Director is expected to have the initiative needed to be successful in continuously improving and streamlining the operations of the newly merged programs and the judgment needed to deploy the program's human resources expertise so as to ensure the program meets its strategic goals. The ability to effective and efficiently communicate with and to motivate a wide range of staff, faculty, trainees, and residency and fellowship applicants is essential.

DUTIES AND RESPONSIBILITIES:

  • Manages and fosters continuing development of all educational programs and initiatives within MGB Pathology, including the MGB Pathology Residency Program, stand-alone (BWH or MGH) and combined (MGB) Pathology Fellowships, and HMS Pathology clerkships at BWH and MGH; collaborates with departmental leadership and supports strategic initiatives as they relate to trainee education; provides oversight of process improvement efforts of new and ongoing initiatives.


  • Supervises a small team of program coordinators and administrative assistants who administer all BWH, MGH, and MGB pathology educational programs; recruits new team members as needed; builds a high-functioning education team by providing guidance and coaching; evaluates performance; mentors and provides corrective action as necessary; evaluates and, if necessary, revises administrative processes to maintain and improve administrative productivity and cost effectiveness.


  • Directs recruitment, orientation, and on-boarding processes for all trainees (residents and fellows) at both BWH and MGH Pathology, including oversight of visa applications in conjunction with BWH and MGH Pathology Administration, BWH and MGH Physician Services, and the MGB Office for Global Professionals and Scholars; oversees and streamlines processing of trainees' hospital and medical school appointments to comply with departmental, hospital, and medical school requirements, in part by developing and implementing a single appointment process for both departments.


  • Oversees onboarding of other learners within the departments (e.g., visiting medical students, clinical rotators, observers) as needed; oversees compliance and scheduling of external rotators, including preparation and maintenance of program letters of agreement (PLAs).


  • Monitors compliance with all accreditation agency requirements, departmental, hospital and medical school guidelines; acts as a knowledgeable source of information pertaining to specific guidelines; analyzes reports and recommends strategic initiatives.


  • Prepares residency, fellowships, and clerkship budgets to ensure adequate funding; monitors financial compliance with annual budgets.


  • Spearheads the administration of the New Accreditation System (NAS) to meet ACGME requirements; ensures program goals and objectives are in sync with milestones, policies, and regulations; understands and complies with ACGME Program Requirements; oversees preparation for GME Internal or Special Reviews and ACGME self-study activities and site visits; leads the application process for new accreditations.


  • Ensures maintenance of integrated yearly resident, fellow, and faculty rotation schedules, including outside rotations and electives; manages the New Innovations Residency Management System and custom software and databases that serve as the basis for resident, fellow, faculty, and program evaluations; develops new custom evaluations; ensures compliance with local GME and national ACGME evaluation requirements.


  • Manages all internal and external communications about the education programs by overseeing the production, dissemination, and updating of internal policies, procedures, resources, and manuals, including internal web content for residents and fellows; directs all aspects of external marketing communications, including educational program brochures and public-facing websites.


  • Manages a database of current alumni, including contact information and professional status; maintains these contacts and uses them to build a network that engages alumni in programs and initiatives.


  • Generates program-related correspondence and ensures timely responses to requests for letters verifying training of trainees, including requests from financial institutions for loan deferments and from licensing agencies, hospitals and other healthcare facilities or entities requesting information about current and past trainees.


  • Oversees event management for all education program activities, including regularly scheduled didactic conferences (live, virtual, hybrid) and graduation events, retreats, holiday parties, and workshops.


  • Qualifications
    QUALIFICATIONS:

    • Master's degree related to education or healthcare administration required.
    • Minimum of 5 years of experience performing relevant work, preferably in a healthcare and/or academic medical setting.
    • Familiarity with medical trainee management, including ACGME policies, required.
    • Supervisory experience required.

    WORKING CONDITIONS:

    Work is performed in an office environment. Position includes opportunity for remote work. Busy on an on-going basis with peaks of activity at certain times of the year (cyclic).

    SUPERVISORY RESPONSIBILITY:

    Responsible for direct supervision of up to 7 FTEs and administrative oversight of all Pathology trainees at MGH and BWH (approximately 120); responsible for the conduct, operations, and results of professional and administrative staff.

    FISCAL RESPONSIBILITY:

    Responsible for all training programs budgets; responsible for prudent management of program resources.
