The Role in Brief:

Director, Mailing Operations

The Director of Mailing Operations is responsible for driving best practices as it relates to the deployment strategy and detailed executional planning for all print and mail campaigns, while fostering a team dynamic that focuses on a high level of productivity, process improvements and recommendations on new and innovative ways of working. This leader works closely with Project Managers, Partner Services, Art Directors, Copy Writers and other Operations Directors, in addition to owning and managing professional working relationships with third party partners critical to campaign execution for print and copy.

This role is based in Richmond, VA.



Primary Responsibilities:

Department Management

  • Plans, staffs, and leads the Mail Operations team including managing performance, coaching and motivating direct reports.
  • Empower and delegate tasks and opportunities to ensure each direct report has buy-in and ownership of their roles and responsibilities.
  • Troubleshoot challenges when they arise and implement a continuous learning culture to encourage growth and development with each team member.
  • Responsible for the hiring and development of talent to create a flexible, proficient and highly productive team.

Operations Management
  • Analyze, plan and implement procedures to drive productivity levels, establish efficiency and maintain best practices.
  • Identify and implement improvements to reduce print and copy process complexities, improve execution and accuracy and positively impact client experience.
  • Manage daily support work from conception to implementation, ensuring projects meet time and budgetary constraints, reporting out regularly to stakeholders.
  • Understand the impact of revenue by campaign and downstream fiscal year impact.
  • Proactively communicates across both business lines and departments with peers and senior management to share information and improve cross-functional processes.
  • Collaborate with the Vice President of Marketing Programs/General Manager of Talent Marketing Services on the creation of new and non-standard marketing materials.
  • Manage fiscal year budgeting, including exploring cost-effective methods to produce mailings and differentiation packages.
  • Establish and maintain thorough production process documentation.
  • Identify operational issues/bottlenecks effecting delivery and quality and proactively work to remove barriers.
  • Serve as a resource and liaison for the company, department leads and Project Managers to the mail shops while resolving issues promptly.

Vendor/Partner Management
  • Oversee and manage relationships and communication with all vendors. Includes: contract negotiations, file and postage monitoring/reconciliation, production timelines and ensuring adherence to defined SOPs/quality standards.
  • Identify opportunities to improve vendor relationships/maintain professional and cooperative relationships.
  • Research new vendors, including obtaining and negotiating pricing to ensure we are receiving the best prices and provide regular reporting to internal stakeholders on changes and/or progress.
  • Maintain a thorough understanding of both offset and digital printing, proactively identifying when we can incorporate new innovations to our current processes.
  • Maintain a working knowledge of how mail shop machinery process mail and stay up to date on new technologies and/or opportunities.
  • Negotiate special mail production timelines and/or pricing as needed.
  • Maintain a working relationship with USPS - including staying informed around new and existing process such as discounts, informed tracking and commingling.

Basic Qualifications:
  • Bachelor's degree in Marketing or Business
  • Minimum 7+ years of experience in Operations, preferably in a direct marketing environment
  • Minimum 2+ years direct management experience
  • Working knowledge of print and mail services for direct mail, including offset and digital printing
  • Must be a detail oriented, highly organized individual with demonstrated problem solving abilities and project management skills - often coordinating multiple projects including working in cross-functional groups
  • Progressive experience and passion for developing, inspiring and maximizing talent, both individually and in a team setting
  • Proven ability to use good judgement and influence to bring forward and implement process improvement ideas
  • Excellent customer service skills
  • Proficiency of Microsoft Office

Ideal Qualifications:
  • 10+ years of experience in marketing operations with a focus on Print/Mail Marketing
  • 5+ years of direct management experience.
  • Experience working with USPS
  • Proficiency of Workfront or other project management tools
