Position Overview: The executive assistant is responsible for providing full administrative and programmatic support to the Vice President and the Director of Major Gifts and Planned Giving. S/he will be responsible for fulfilling multiple roles within the office of Major Gifts and Planned Giving.The Office of Major Gifts and Planned Giving is growing the current fund-development initiatives and building a new Planned Giving Campaign. Key to the success of these endeavors, the Development Assistant, Major Gifts and Planned Givingwill be involved in the coordination of all Major Gift activities including database management, budget management, administration of senior staff agendas and schedules, assisting in the preparation of fundraising and donor relations materials, and serving as a liaison to the board of directors.

Job requirements:

  • Bachelor’s degree or a minimum of three years of experience supporting high-level management positions.
  • Knowledge of Microsoft Office, especially Excel
  • Knowledge of Microsoft Publisher is preferable
  • Demonstrated excellence in interpersonal, written and verbal communication, and presentation skills
  • Demonstrated ability to manipulate data
  • Demonstrated ability in building relationships and customer service
  • Strong office organizational skills and attention to detail
  • Ability to work independently and on collaborative efforts
  • Experience in Raiser’s Edge NXT:
    • Perform standard and complex queries
    • Maintain, update, and manipulate data (including names, addresses, emails, past giving, general giving history, rating, wealth potential, text notes, meeting notes, actions and next steps)
    • Data cleanup
    • Generate reports for Major Gift Officers as requested
    • Work with IT and Finance to ensure gifts are coded accurately
    • Data entry and gift processing
    • Gift entry and gift acknowledgments
    • Develop and update manual of procedures for database management
Development
  • Tracking all gifts received and the timely tracking, drafting and sending of appropriate thank you letters, coordinating this process with the office of the Chairman through the Chief of Staff
  • Researching individual and corporate prospects via several sources including WealthEngine, Leadership Directories, internet, and print articles.
  • Coordinating the creation of major gift and planned giving collateral materials (letters, info packets, brochures, case statements, decks) for pitch meetings, presentations, and internal development meetings with senior staff.
  • Coordinating the creation of fund development stewardship materials (letters, info packets, brochures, impact reports, stewardship touches, case statement, decks).

Operations
  • Preparing an up-to-date to-do list for the Senior staff of short and long-range tasks
  • Manage and maintain calendar and travel arrangements for the Senior staff
  • Prepare and track expense reports and other miscellaneous items for the Senior staff
  • Manage and track major gifts revenue and expenditure budget
  • Schedule and prepare agendas for department conference calls
  • Perform general administrative duties, including maintaining records, preparing memos, letters, and donor kits, retrieving documents, emailing, mailing, and ordering supplies
  • Liaison to the Board of Directors as needed
