Alfasigma USA is seeking a Customer Service - Data Entry Clerk to help guide and develop the following customer service functions to align with the supply chain standard practices and systems:

  • Third Party Logistics (3PL) Relationship
  • Customer Service
  • Data Entry
  • Order Processing
ESSENTIAL FUNCTIONS:
  • First point of customer contact for inquiries such as pricing, product information, shipments, distributor search information and orders
  • Ensure delivery of excellent customer service through timely and accurate processing of orders, effective communication with customers, wholesalers or 3PL and coordination with other departments to resolve inquiries
  • Build and maintain customer loyalty by providing prompt, friendly service
  • Support the Supply Chain team and other departments within ALUSA Shreveport in a variety of administrative tasks as required.
  • Provide and assist with technical information about all ALUSA product lines (Ex: Providing manufacturer documentation to customers as requested) 3PL Relationship for consumer product business at Integrated Commercialization Solutions (ICS)
    • Monitor daily customer order transfer to ICS
    • Prepare shipping notifications for incoming finished goods
    • Respond to customer inquiries regarding shipment status
  • 3PL Relationship for bulk business
    • Process customer orders and provide necessary paperwork to 3PL.
    • Provide Safety Data Sheets (SDS)/Specification Sheets related to bulk products as requested.
  • Raw Material and Packaging purchase orders
    • Create purchase orders for necessary raw/pack material.
    • Once approved by management, send order to vendors.
    • Monitor orders for delivery and report to Supply Chain any delays that would impact production.
  • Inventory Control
    • Enter batches into inventory management system, Vicinity.
    • Enter inventory data monthly
  • Comply with Safety, Health and Environment, and Quality regulations
  • Communicate effectively up and downstream needs to instill customer service orientation within plant's organization.
REQUIREMENTS:
  • Highly proficient in data entry
  • Flexible and possess the desire to take on additional responsibility
  • Great organization skills
  • Excellent and precise data entry and typing skills
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point and Outlook)
  • Understands need for confidentiality
  • Process orders quickly and efficiently paying attention to details (i.e. product codes, order quantity, etc)
  • Professional phone manner
  • Excellent written and verbal communication skills
  • Ability to learn technical information provided in trainings
  • High school diploma; 2-4 years college degree/certification preferred, not required
  • 2-4 years of previous customer service management experience preferred
