HOMESTEAD MIAMI SPEEDWAY

Homestead-Miami Speedway celebrates its 25th anniversary in 2020, as it continues to generate more than $301 million of annual economic benefit. The Speedway was home to NASCAR's championship races from 2002 through 2019 - the longest such stretch in pro sports. It is regarded as the most competitive 1.5-mile track on the circuit, and also boasts a 2.21-mile road course, which is used for many racing disciplines throughout the year. In addition to its NASCAR race weekend, the track plays host to events of all types more than 300 days out of the year. During a visit to the track, fans are easily reminded of everything that Miami is known for such as an infield beach party, a slice of the area's Cuban culture, three fresh spring water lakes, and much more!

The Coordinator of Event Operations plays a critical role in Homestead-Miami Speedway's (HMS) major events and year-round operations. The position requires a strong focus on customer service. Primary duties include assisting the guest services team at major events (primarily HMS's NASCAR weekend), assistance of key aspects as noted below for major events, and a key role in all aspects of track rentals and special events.

  • Excellent communication and time management skills.
  • Must be able to work in a team environment interacting with multiple departments.
  • Must be well organized with attention to detail with ability to multitask, work under pressure and meet deadlines required.
  • Ability and willingness to work nights, weekends and holidays as business requires.
Responsibilities/Duties/Functions/Tasks
  • Assist in researching, evaluating, contracting third-party vendors as needed for major event and track rental support.
  • Collaborate with the Sr. Manager on daily priorities with track rentals and special events from drafting of contract to execution of event.
  • Write Track Rental and Special Event contracts and manage them through the execution phase
  • Act as liaison Levy Catering staff on menu, set up and execution of event
  • Create and distribute Memo's internally to HMS Stakeholders
  • Attend Track Rentals and Special Events to ensure client satisfaction and build event summaries for all events hosted which will capture client feedback and any issues encountered during the event
  • Contact any/all past due issues associated with Track Rentals and Special Events
  • Maintain high level of customer service to existing and new clients
  • Coordinate with the Guest Services team to assist in the planning, execution for all major events including but not limited to Volunteer Groups.
  • Take inventory and order event specific signage.
  • Be a team player, helping others whenever assistance is needed.
  • Other duties as assigned by the Sr. Manager Event Operations and Guest Services
Qualifications and Work Requirements
  • Strong written and verbal communication skills;
  • Ability to multitask within a fast-paced environment;
  • Excellent relationship building and interpersonal skills, with the ability to interact comfortably and effectively with internal and external clients at all levels of the applicable organizations
  • Highly self-motivated with a strong work ethic, results oriented and the ability to thrive in a fast paced environment and think independently at timesOutlook and Microsoft Office proficiency
  • Ability to maintain physical stamina throughout the event weekend as required to address the respective areas of responsibility.
  • Position may require travel as requested;
  • Must be able to work all major operational days of events as determined by Sr. Manager, Event Operations & Guest Services;
