GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Fertility Center is a unique blend of a subspecialty reproductive endocrine in a busy ambulatory setting that includes; patient clinical sessions, day surgery and a procedural area (open 7 days). The Center also includes an embryology/andrology laboratory. This subspecialty environment is fast-paced, detail-oriented and reliant on exquisite team work across disciplines.

The Clinical Fertility Associate (CFA) is responsible for supporting the overall efficiency of patient flow in the Fertility Center. The CFA is uniquely positioned as front end clinical staff that has the most frequent patient exposure at time of testing and visits. The CFA ensures that the patient and family members are attended to in a caring and attentive manner. Responds to the needs of patients and their family members in a timely manner and maintains a professional, positive and friendly demeanor at all times.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Greet patients in a professional manner and escorts them into patient exam room always mindful of patient privacy, comfort, and confidentiality.
  • Take and documents patient vital signs, collects specimens and performs point of care testing as ordered.
  • Maintains patient exam rooms, setting up and stocking, as appropriate.
  • Maintains and updates the Medical Assistant Manual. And Clinical Fertility Assistant Manual
  • Maintains all clinical supplies, including stocking and ordering on an ongoing and an as needed basis.
  • Assist with all procedures within the practice; pelvic exam, vaginal ultrasound, office hysteroscopy, FemVue, Sonohysterogram, endometrial biopsy, Karmen aspiration, polypectomy, early pregnancy intrauterine ultrasound, etc. under the supervision of physician.
  • Prepare procedural medications under supervision of physician/NP.
  • Keep detailed records of clinical information provided by physician during exams and procedures.
  • Complete patient intakes and enroll patients in EngagedMD.
  • Maintain detailed equipment assessment pre and post procedures.
  • Clean and provides low- and high-level disinfection of all procedural equipment, including use of Trophon machine following MGH infection control guidelines.
  • Assist RN/MD with intrauterine inseminations; precise identification of sperm specimens to assure correct patient/correct specimen.
  • Perform phlebotomy including daily blood draws on patient in treatment cycles as well as new and follow up patients.
  • Maintain familiarity with expected patient outcomes of procedures performed, recognizes situations requiring nurse or physician notification.
  • Track patient testing and consults for completion; identify and report all abnormal testing results to team RN in a timely manner.
  • Complete lab requisitions including outside genetic testing paperwork under the supervision of RN/MD.
  • Evaluate daily schedule to identify changes in patient appointments, early recognition of need to reschedule patients, etc.
  • Anticipate plan of care for follow up physician visit; prepares additional lab requisition slips, pulls educational treatment packet.
  • Scan into EMR procedural consents, outside medical records, etc.
  • Assists RN with prior authorization requests for medications.
  • Assists physician/fellow during oocyte retrieval and embryo transfer using sterile technique in O.R. procedural area. Includes: room set up, ready suction and ultrasound machines, manage room temperature and temperature of delicate needle aspiration equipment including test tube blocks, precisely manages suction/trap/and test tube. Uses closed loop communication to assure accuracy of test tubes, # of follicles aspirated and ovary of origin. Cleans room and equipment in between cases.
  • Assist physicians with Embryo transfers; includes room and Ultrasound set-up.
  • Assist physician with other operative procedures i.e. D&C, polypectomy, cervical stitch application.
  • Maintains par levels of patient education and clinical testing materials.
  • Involved in unit quality assurance regarding documentation and core responsibilities related to CFA role.

  • Qualifications
    QUALIFICATIONS:

    • High School Diploma or equivalent
    • Medical Assistant and Basic Life Support certification recommended; Nursing Assistant certification or other academic preparation may be considered in lieu of certification.
    • 1-2 years of prior clinical experience, preferably in an ambulatory Ob/Gyn setting.
    • Current Basic CPR certification preferred
