SAY Detroit Health Clinic serves the primary care needs of both uninsured and underinsured adults in Michigan by providing primary care, limited diagnostic testing and imaging, transportation and pharmaceuticals. SAY Detroit Health Clinic strives to eliminate the barriers to access to care that many individuals face. In addition, SAY arranges for specialty care through relationships with specialists and partnerships with other organizations.

GENERAL SUMMARY

Performs a variety of routine clerical duties such as light typing; completing standard forms, charts and records with prescribed information; maintaining filing systems; routing information; answering telephones and opening mail. May greet and direct visitors.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Utilized electronic medical records system (EPIC) to coordinate patient visits.
  • Completes, prepares and assembles a variety of standard forms, charts and records as prescribed. Contacts other departments and information sources to obtain necessary information. Flags and locates missing information.
  • Verifies patient insurance and helps patients apply for financial assistance.
  • Call patients to verify appointments and insurance enrollment.
  • Sorts, classifies and files materials as directed, to ensure current and easily accessible information. Updates records and files, using multiple filing systems. Systems may be manual or computerized, requiring data entry. May arrange for movement of records to long-term storage. Purges files as appropriate.
  • Receives and responds to requests for release of information. Locates, orders and retrieves requested data from files. With proper authorization, copies and routes pertinent records and information to requestors. Maintains logs of work activities.
  • Responds to routine inquiries from departmental personnel regarding file status and location. Acts as contact person for information requested by other departments.
  • Answers telephone and routes calls appropriately. Takes and relays messages according to established procedures. Opens, sorts and routes incoming mail. Processes outgoing mail and packages.
  • May receive and greet visitors, patients and/or employees. Ensures amenities are available. Notifies appropriate staff, and directs visitors and deliveries to appropriate areas. Answers routine questions; provides basic information and assistance with departmental procedures.
  • May schedule appointments for patients or other visitors, following established scheduling guidelines and procedures. May gather information from patients/visitors and perform registration and/or processing tasks such as completing related forms and records, and entering information into computer.
  • Performs a variety of general clerical duties, such as copying, collating, running errands, assembling and distributing packets, mailings and memos. May assist in scheduling meetings and maintaining calendars. Also performs duties specific to the functions and needs of the department.
  • Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions and participate in their resolution.
  • Maintains the confidentiality of information acquired pertaining to patient, physicians, employees and visitors to St. Joseph Mercy Hospital. Discusses patient and hospital information only among appropriate personnel in appropriately private places.
  • Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.

QUALIFICATIONS

  • High school diploma or equivalent combination of education and experience. Additional formal clerical and computer training desirable.
  • Familiarity with basic clerical support procedures, usually gained through six months or more of clerical office experience.
  • Accurate typing and data entry skills. Accurate spelling and grammar, and attention to detail. Ability to sort in alphabetic and numeric sequence.
  • Telephone skills and ability to operate office equipment such as personal computers, copiers, fax machines and printers.
  • Interpersonal skills to effectively communicate with a wide range of staff, physicians, medical professionals, patients, visitors and other organizational personnel, in order to relay and obtain factual information.
  • Organizational skills to prioritize multiple tasks, meet deadlines, and adapt quickly to changes and interruptions.

WORKING CONDITIONS

  • Normal office environment, or combined office and patient care environments.
  • Occasional lifting of up to 25 pounds, bending, standing and walking.
