Miami Herbert Business School (MHBS) is a comprehensive business school, offering undergraduate business, full-time MBA, Executive MBA, MS, PhD and non-degree executive education programs. One of 12 colleges and schools at the University of Miami, the Business School is a major hub of international trade and commerce and acclaimed for the global orientation and diversity of its faculty, students, and curriculum. The school delivers programs at its main campus in Coral Gables, Florida as well as at other locations across the state and abroad.

Miami Herbert Business School is currently seeking an Assistant Director, Graduate Admissions to oversee enrollment to a portfolio of graduate business programs. Under the guidance of the Associate Director, Specialized Business Programs, the incumbent will be responsible for representing the University of Miami Herbert Business School in all facets of recruiting, admissions and engagement.

The Assistant Director, Graduate Admissions recruits qualified students for admission to the school in accordance with applicable internal and external policies and regulations. Moreover, the Assistant Director, Graduate Admissions oversees the enrollment of target populations in programs offered by the institution.

CORE JOB FUNCTIONS

  • Explains educational programs, expected outcomes, student services, and financial considerations to current undergraduate students, parents, and prospective graduate students.

  • Makes prompt and effective contact with inquiries and redirects unqualified candidates.

  • Nurtures interested applicants over their entire decision journey, carefully understanding their preferences and guiding them towards appropriate options in the school's program portfolio.

  • Schedules and conducts interviews and pursues qualified candidates for enrollment.

  • Forecasts projected new students on a periodic basis for senior managing staff.

  • Understand the program's target audience and effectively articulate programs' value proposition.

  • Conducts follow-up meetings with all applicants to ensure successful matriculation.

  • Assists other personnel and departments with data collection.

  • Develops, leads, and participates in recruitment and enrollment events and activities.

  • Travels occasionally to graduate fairs, conferences and colleges to attract prospective applicants to graduate programs.

  • Maintains exceptional customer service to internal stokeholds and prospective candidates.

Education:

  • Bachelor degree in a related field required
  • Master's degree preferred

DEPARTMENT ADDENDUM

Department Specific Functions

  • Assist prospective students (via e-mail, phone, virtual information sessions, walk-ins, scheduled appointments and/or recruiting events) with inquiries and provide insights about our graduate business programs, which include: Full-Time MBA (including MBA dual-degree programs and an Accelerated MBA program), Professional and Executive MBA programs, and specialized master's programs based in Miami.
  • Establish best practices to recruit prospective students in order to deliver high-quality Graduate level programs.
  • Assist the Assistant Directors, and Associate Directors with processing applications and coordinating the file review procedure as well as assist with student application processes, including interviewing and file evaluation.
  • Work with advising team to ensure successful transition of deposited graduate applicants.
  • Verify application and enrollment statistics and monitor applicants' data to ensure accuracy and consistency of information.
  • Interact and work with Program Directors and Advisors as well as the Career Advancement Team to ensure superior customer service to prospects, applicants, enrolled students and internal stakeholders.
  • Lead, support, and attend admissions events for increased brand awareness and in support of delivering a best-in-class full student lifecycle. Provide assistance to the Graduate Admissions Team in the management of the prospect and applicant database. This includes updating of prospect and applicant data in the database and use of the database to effectively provide service to graduate business applicants.
  • Assist with the planning and execution of recruiting, marketing and other related events.
  • Provide administrative assistance with travel requests, accounts payable, supplier relationships and other responsibilities associated with office management.

Knowledge, Skills and Attitudes:

  • Demonstrated ability to work independently, analyze and make sound decisions related to job responsibilities.
  • Demonstrated ability to run database reports without supervision and ability to analyze results.
  • Strong coordination and organizational skills required to prioritize work
  • Superior written, verbal communication and presentation skills
  • Strong knowledge of all Microsoft products including Excel, Word, Power Point and Publisher (preferred).
  • Experience working with databases and data analysis is required. Experience with Salesforce is a plus.
  • Ability to work in a fast-paced work environment and handle multiple requests/responsibilities simultaneously.

  • Experience in higher education admissions is strongly preferred.
  • Knowledge of a second language is a plus.
  • Adaptability and growth mindset highly desired.
  • Incumbent must be willing to travel, domestically and possibly internationally. The incumbent represents the University of Miami's Graduate Business Programs at pre-arranged and/or self-arranged recruiting events that may take place locally, regionally, nationally, and/or internationally.
