The Admissions Coordinator is a support position responsible to the Admissions Manager. The primary responsibility of this position is to ensure the success of the 24-hour inquiry outreach by oversight of the Admissions' Student Ambassador program. This position requires a significant amount of phone work. This position also oversees the Admissions Data Administrative Assistant positions and Student Center Information Desk Receptionists. This position works closely with Strategic Development to implement effective outreach strategies.

Responsibilities

Build and maintain a robust Student Ambassador Program (4-6 Student Ambassadors).

Ensure Admissions Student Ambassadors are providing first phone outreach to prospective student inquiries received via e-mail, web forms, contact cards, etc. within one (1) business day of receiving the inquiry.

Oversee and recommend communication flow strategies related to regular follow up calls with a primary focus on Inquiry to Application.

Create, manage and oversee supplementary phone lists for Student Ambassadors in conjunction with regular communication flows with designated prospects as determined by the CRM.

Oversee the department's direct mail program given its direct connection to new inquiries.

Organize additional outreach from the Student Ambassadors when needed for the subsequent steps to getting started following application when necessary, including re-engagement calls for students who have not yet enrolled.

Oversee the entering and maintenance of outreach notes and student information into the Customer Relationship Management (CRM) system. This includes the maintenance of open task lists.

Assist with re-assignment of prospects as they move through the enrollment funnel.

Oversee the Data Administrative Assistants (1 full-time; 1 part-time) to ensure the accuracy, timeliness and efficiency of the processing of new student data and Admissions data reporting.

Oversee the Student Center Information Desk Receptionists (1 part-time; 1 full-time) located on the Sugar Grove Campus. This includes coordinating with the Campus Services Manager regarding College Information Center phone queue and chat responsibilities that are inherent with these roles.

Provide walk-in new student advising coverage when necessary (including other campuses).

Maintain general knowledge of college activities, programs and requirements with the ability to refer inquiries to the appropriate personnel.

Assist with the planning and implementation of recruitment events as needed.

Serve as a representative of the college at community and district high school events as needed.

Assist with the Gustafson Scholarship program activities as needed.

Assist with providing front desk phone and student intake coverage as needed.

Assist with administrative office tasks as needed.

Perform other duties as assigned.

Minimum Qualifications

Bachelor's degree in related field required.

Minimum two years related experience in the education field, including work with minority and/or adult populations.

Direct supervisory experience preferred.

Excellent communication, organizational and human relations skills.

Outstanding phone and e-mail etiquette.

Familiarity with CRM systems, data entry for updating student records and other student service/computer software.

Valid Illinois driver's license required.

Spanish/English bilingual ability is desirable, but not required.
