Administrator

Duties/Responsibilities:

Provides a variety of administrative support functions to various departments; duties will include but are not limited to:
- Assist in preparation of subcontracts and purchase orders
- Assist in expediting jobs and creating job books for Operations Group
- Phones, faxing, typing, copying, filing and receiving and distributing mail
- Coding & checking invoices with purchase orders & delivery tickets
- Review daily reports
- Prepare monthly reports as needed
- Approve accounts payable invoices, code as needed
- Prepare subcontractor payable invoices
- Scan and maintain contract documents, job files and job data bases
- Project closeout including any and all paperwork required
- Answer phones, greet visitors
- Assist in preparation of bid documents
- Assist in ordering bonds, insurance certificates and plans
- Update bid calendar and follow-up

Qualifications/Competencies:
- 2-5yrs experience in an administrative support position
- Proficient with MS Word/Excel/Outlook and all standard office equipment (copy machines, fax, scanners)
- Must be comfortable prioritizing and re-prioritizing work; able to change directions quickly to meet demands of customers
- Excellent communication skills, including telephone, personal and e-mail
- Must be able to work independently and with a team
