Administrative Assistant, $17.00+/hour

Regal Palms Resort, managed by Guest Services, is now hiring an Administrative Assistant to assist with hotel operations. Candidates must be highly service-oriented with a strong administrative background.

This position pays $17.00-18.00/hour.

JOB SUMMARY

The Owner Liaison assists the Area Manager and location managers in all aspects of Condo and HOA unit operations and accounting. This position is responsible for the administrative and accounting tasks assigned to support the unit, as well as working with the unit's teams to develop processes and procedures to assure best practices are in place to meet the Owners' expectations.

ESSENTIAL FUNCTIONS

  • Responsible for administrative tasks for the Association. Correspond with owners and respond to needs, questions, and concerns.
  • Serve as main point of contact for HOA related inquiries/ Realtor / Broker.
  • Coordinate Owner Service Requests and Architectural Committee Requests.
  • Coordination, assistance, and attendance of Meetings/Events to include but not limited to: AGM, Townhalls, Monthly Owner Meet and Greets, and quarterly architectural/social/communication meetings.
  • Keep records and execute administrative policies determined by or in conjunction with the Unit Managers.
  • Adhere to and promote Guest Services' Hospitality Standards.
  • Conduct onboarding for new owners to include: Dwelling Live, Iqware, Click Pay and HOAst
  • Act as Owner On-Site Liaison by handling yearly reservations. Also responsible for vehicle, pet, RFID and FOB information.
  • Prepare various forms of communication to owners in the form of memorandums, flyers, emails, letters, etc. Assist in posting and keeping Community website updated, which includes a daily website sync and adding monthly committee and board agendas/minutes as needed.
  • Assist with building BOD Notices and Agendas and minute taking for meetings.
  • Consolidation of Manager Weekly Reports for Dwelling Live Manager Reports.
  • Assist with Semi-Annual Newsletters. Payments/Coordination of pre-paid contracts.
  • Assist with preparation of Annual General Meeting ballots and packets.
  • Take and transcribe dictation, and compose and prepare confidential correspondence, reports, and other complex documents.
  • Maintain office equipment and supplies.
  • Required to learn new software systems and become proficient as assigned
  • Maintain awareness of safety issues, and report them immediately to a unit manager.
  • Serve as manager on duty as needed.
SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE
  • High School Diploma or GED preferred or previous experience as an administrative assistant or related customer service position.
  • Ability to calculate basic mathematical figures.
  • Computer proficiency with the ability to utilize Microsoft Outlook, excel, Teams, Wordpress
  • Great interpersonal skills required, with the ability to communicate effectively with a wide variety of people.
PHYSICAL AND MENTAL REQUIREMENTS
  • Ability to sit at a desk for the entire work day.
  • Reading and writing work-related documents in English.
  • Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.
  • Constantly communicates and receives verbal communication.
  • Lifting, carrying, and pushing up to 15 lbs. occasionally, up to 30 lbs. seldom.
  • Occasionally stoop, kneel, or crouch.
  • Use hands and arms to reach for, grasp, and manipulate objects.
EQUIPMENT USED
  • Typical office equipment (computers, laptop, printer with scanning capabilities, copiers, among others).
