Position Purpose:

Administrative Assistant provides administrative support to the College of Education and Social Work.

Essential Job Functions:

  • Represents Aurora University in the most positive manner with prospective, former and current students, clients, suppliers, and the community we serve. Interacts effectively with a diverse group of faculty, staff, students, and other customers of our service. Learns and uses operating practices of the department and Aurora University.
  • Handles confidential information with tact and discretion.
  • Answers phones, files, updates, and stores records.
  • Provides administrative support for the College of Education and Social Work.
  • Uses Colleague to access student schedules and contact information; communicates via email with students, staff, and faculty.
  • Performs general office duties, including photocopying, ordering office supplies, filing, and handling of office mail:
    • Provides administrative assistance to the dean (scheduling, arrangement of programs and events, schedules appointments, accreditation process and dissemination, etc.).
    • Provides front desk/reception duties for office such as greeting visitors and students.
    • Assists faculty and students via phone, email, and personal contact.
    • Communicates with Advising, VPAA, Admissions, Registrar, Business Office, Physical Properties, Copy Center, and other offices on campus.
    • Faculty search - make copies, schedule meetings, secure conference rooms.
    • Prepares online requisitions, budget adjustments, and check requests.
    • Maintains budget, ensures all reimbursement paperwork is signed for all faculty and staff.
    • Creates and maintains FQ files for faculty.
  • Provides clerical support to the SSW Director/MSW/BSW, Field Coordinator and DSW Program Directors:
    • Prepares letters for Director (e.g., student review, change of status).
    • Processes student forms (e.g., change of grade, leave of absence).
    • Processes incoming BSW applications for BSW Program Chair.
    • Manages the BSW database and assists BSW Program Chair with BSW email listserv.
    • Attends field events as requested to assist with note taking and registration.
    • Manages mailboxes for faculty and adjuncts (sort, mail, etc.).
    • Orders student and field awards for all degrees at graduation.
    • Receives student information from the Registrar for late/missing grades and distributes information to faculty.
    • Sends certified letters to students on behalf of Director regarding academic probation/student review results, etc.
    • Assists Phi Alpha Honor Society (BSW) by sending all letters to students and distributes graduation cords, pins, and certificates.
    • Ensures the schedule is up to date each semester with appropriate faculty listed.
    • Provides general clerical support to all full-time and adjunct faculty.
    • Orders desk copies for faculty and adjuncts and handles all textbook requisitions for adjunct taught courses.
    • Performs other duties as necessary or as assigned.

  • Essential Job Requirements:

    Education:

    • High school diploma required.

    Experience:

    • Previous office experience preferred.

    Skills:

    • Good communication skills; listening, writing, and speaking.
    • Good interpersonal skills.
    • Knowledge of computers, including word processing, spreadsheet, and database capabilities.
    • Ability to communicate in person, via email, or by phone.

    Physical Requirements:

    • Ability to move around campus.
    • Ability to work with a computer for long periods of the day.
