Job Description:

The Administrative Assistant is a full-time on-site staff position within the KHSC-KansasCOM department of Academic Affairs and reports directly to the Executive Assistant to the Dean and Chief Academic Officer. The Administrative Assistant provides high-level administrative support for Academic Affairs leadership. Project management, flexibility, creative problem-solving, attention to detail, and excellent communication skills are essential requirements for this position.

SPECIFIC RESPONSIBILITIES:

  • Provide daily administrative and project support for Osteopathic Manipulative Medicine (OMM) and Pre-Clinical faculty and staff as directed.
  • Perform general office duties including but not limited to ordering supplies, delivering mail, maintaining records management systems, creating reports, and essential bookkeeping.
  • Prepare support materials for various academic affairs department meetings, and attend/ support the meetings by taking notes for review and distribution. Track actionable items in preparation for subsequent meetings.
  • Ensure our employed faculty credentialing files are kept up to date and assist the Clinical Education department with adjunct faculty credentialing as needed.
  • Assist program faculty and staff during accreditation for support.
  • Handle work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy according to the practices and procedures of the organization.
  • Answer telephone calls, determine priorities, and respond and communicate to staff and faculty appropriately and promptly.
  • Facilitate special projects and other duties, and assist other academic areas as needed.

SUPERVISORY RESPONSIBILITIES:

  • N/A

QUALIFICATION(S):

  • Bachelor's degree not required but preferred and/or five years of administrative experience.
  • Experience in the professional working environment, nonprofit or higher education setting is highly desired.
  • High level of proficiency in Microsoft Office Suite (Outlook, Teams, Excel, PowerPoint, Word), Adobe products (Acrobat, Flash, Reader, etc.). and various web applications.

  • Demonstrated strong customer service skills and ability to manage professional and interpersonal relationships.
