Description:

Reporting to the Chair, Department of Science Education, the Administrative Assistant provides high-level support to the Chair of Science Education and other faculty members and directors in the Department of Science Education, as assigned. This position requires the use of independent judgement in planning, prioritizing a diversified workload, and regular communication with students, faculty, physicians and administration at the School of Medicine, Hofstra University, and Northwell Health.

Responsibilities include, but are not limited to:

* Act as a representative of the Department of Science Education and serve as a liaison with the university community.

* Assist with the day-to-day operation of the Department of Science Education by providing direct support to the Chair of Science Education and other faculty members and directors, as assigned.

* Prepare documents, reports, and presentations for the Chair of Science Education and others, as needed.

* Respond to routine and non-routine correspondence.

* Handle confidential and non-routine information and explain policies and procedures when necessary.

* Establish, develop, and maintain electronic correspondence logs and database tracking systems.

* Schedule and coordinate support for all necessary meetings. Prepare and compile materials as needed. Communicate with presenters or special guests, and coordinate equipment/technology and any other special meeting requirements.

* Manage multiple tasks, exercise judgement and independent initiative and handle time-sensitive matters that require concise problem-solving and high degree of confidentiality.

* Assist with addressing student/faculty/staff inquiries to the Department as they present.

* Collaborate with other Administrative Assistants to cover absences, provide relief to equalize peak work periods, or otherwise balance the workload within the Department.

* Use independent judgement to plan, prioritize and organize a diversified workload.

* Complete other special duties and projects, as assigned.

This is an onsite position; work performed for this role is on campus.

Qualifications: Required:

* Bachelor's degree.

* Be detail-oriented, able to exercise good judgment and discretion, and capable of handling sensitive and confidential issues in a professional manner.

* Minimum three years of progressive experience providing administrative support in a fast-paced, intellectually challenging environment is required.

* Superb computer skills, with proficiency in Microsoft Office products, including Word (mail merge and tables), Excel, Access, PowerPoint, and using the Internet.

* Capable of working independently and within a team, have excellent organizational abilities, and possesses superior oral and written communication skills.

* Experience with scheduling and preparing for live and remote meetings, and the ability to handle multiple tasks expediently and accurately.
