About this opportunity:
Reporting to the Regional Vice President (RVP), US Refining, the administrative assistant will interact as a liaison between executive staff members and the business. The successful candidate will be responsible for coordinating information, programs, meetings and managing schedule(s). The Administrative Assistance will organize substantial domestic and international travel for the executive ensuring all details are effectively orchestrated and efficiently communicated while managing expenditures.

Other tasks include conversing executive's time by screening and responding to telephone calls and e-mails on behalf of the executive, maintaining sensitive and confidential issues and inquiries for executive, including personnel, wage, budget, and strategic information. You will help plan meetings, executive functions, site visits, and special events, including securing locations, determining food and beverage menus, selecting entertainment, gifts and determining transportation logistics.

This position is located at our Dublin, OH office.

Responsibilities:
  • Provide confidential assistance to the RVP with files, incoming and outgoing mail, and scheduling and maintaining daily calendar.
  • Coordinate meetings, executive functions, and special events, including securing locations, determining food and beverage menus, selecting entertainment/gifts and determining transportation logistics.
  • Manage all general office administration tasks such as organizing meetings, expenditures, and Authorization for Expenditure (AFE) accounts
  • Coordinate travel arrangements, scheduling appointments, staff training, and time administration.
  • Create communications on behalf of the executive and acts as the executive's representative, both internally and externally
  • Proactively anticipate the needs of the executive and their leadership team
  • Initiate correspondence and actions by composing complex, detailed and sensitive materials including but not limited to creation of presentations and reports, company-wide communications, meeting agendas, meeting minute notes, and COVID-19 policies and procedures
  • Manages logistics and develops content for weekly, monthly, and annual meetings as an active member of the Leadership Team
  • Coordinate new hires, employee changes, office moves, etc.
  • Provide training opportunities as needed to empower support and ensure aptitude with new technology.
  • Proactively seek out and undertake training opportunities related to corporate initiatives and new technology or processes and passing that knowledge onto other staff as needed.
  • Provide assistance to the communication department when planning and hosting special events.
  • Assist with administering department budget working closely with Finance, Tax, and other partners.
  • Work closely with the Finance Department to prepare and consolidate the departmental budgets, prepare variance reports, review, and analyze monthly P&L statements, reconcile variances and report findings for executive review.
  • Responsible for completing reports, expense vouchers and reconcile vouchers to credit card statements and make adjustments
  • Order office supplies as needed.
Required Qualifications:
  • Must be legally eligible to work in the United States
  • Minimum 5 years of office experience with high level executives
  • Strong organization skills, with the ability to set priorities, follow-up and meet deadlines
  • Ability to communicate with all levels of the company and external contacts
  • Excellent proof reading and business writing skills
  • Excellent presentation preparation skills
  • Displaying tact and good judgment in resolving problems and answering inquiries
  • Ability to work independently in a fast-paced, varied, and diverse environment with changing priorities
  • A high degree of initiative and self-motivation
  • Proficiency in Microsoft Word, MS Teams, Outlook, Excel and Macros, Visio, Power Point, and SAP (including Manager's Desktop)
